The Division of Extension and Engagement is seeking a 4-H Statewide Events Coordinator. This is a full-time (1.00 FTE), 12-month, professional faculty position.

Due to funding for this position, OSU will not sponsor immigration work authorization for this position (e.g. H-1B, etc.).

This 4-H Statewide Events Coordinator is with the Division of Extension and Engagement's (division) Extension 4-H Youth Development Program. The primary work location for this position is the OSU 4-H Youth Development Office on OSU's campus in Corvallis, Oregon. However, an alternative work location may be designated. Refer to the Working Conditions section of this position description.

The purpose of this 4-H Statewide Events Coordinator position is to provide oversight and management of flagship Statewide 4-H events and programs, events include but are not limited to: 4-H Participation at State Fair, Youth Voices in Action, and Summer Conference. This position will also coordinate youth participation in National 4-H events such as Ignite by 4-H and 4-H National Conference. Additionally, this position will offer logistical support (booking facilities, negotiating AV and meal packages and streamlining registration process) for events coordinated by State Staff Program Managers such as (Outreach leadership abilities Institute, Volunteer Forums, Spring Classic, and State Shooting Sports Tournament).

This 4-H Statewide Events Coordinator is expected to apply principals of positive youth development to the areas of Family and Consumer Science (textiles and clothing, foods and nutrition, food preservation, fashion revue and designing spaces) and Expressive Arts (photography, art, fiber arts, cake decorating, leathercraft, ceramics, and performing arts). The responsibilities of this position will focus on creating educational programs, curriculum and learning opportunities/contests for youth, volunteers and 4-H youth development faculty and staff in the areas of specialization.

In addition, this individual helps ensure that 4-H educational events are designed and coordinated to serve broad and diverse populations in an accessible, inclusive, equitable, and socially just manner. This includes complying with Civil Rights and Language/Visual Access regulations.

About Extension 4-H Youth Development Program:
4-H provides young people with intentional, high-quality learning practices that promote positive interactions with adults and peers, sustained and active participation across time, and opportunities to make significant contributions to the world around them. This mission is accomplished through the work of volunteers, youth, community members, and professionals who organize and conduct learning practices in club, group, community, and family settings. Programs are implemented in a manner that is consistent with the best practices in the field of youth development and respectful of local norms and culture.

4-H Faculty teach, develop materials, coordinate digital outreach activities and provide administrative oversight to a broad array of programs through out-of-school, after-school, in-school, and camping programming. This position supervises all 4-H programming and supervises volunteers with skills in project areas (e.g., health, outdoor adventures, livestock, shooting sports, leadership abilities, civic engagement, and robotics). Some 4-H practices involve travel and overnight accommodations. 4-H faculty are required to assure compliance with Federal and State regulations related to youth protection, fund-raising, taxation, and the nonprofit status of 4-H and affiliated organizations. Key Responsibilities 80% Events Management and Program Content Development
   » Organize and manage Statewide 4-H conferences, events, contests, events, camps, retreats, and dinners (collectively referred to as ?events?), including oversight and facilitation of all aspects of event management before, during, and after the event. These events can be on or off campus and include and are not limited to Oregon State Fair, Youth Voices in Action, and Summer Conference. Travel/driving is required.
   » Assist designated State program staff and foundation staff with logistical coordination and planning for 4-H events such as State Shooting Contest, Spring Classic, State Ranch Horse, Outreach leadership abilities Institutes, 4-H Foundation Events, Extension Annual Conference, and Statewide Volunteer Appreciation Events.
   » Organize and maintain program planning committees and advisory committees to identify program needs, make recommendations, assist in program development and implementation, assist in curriculum development, and evaluate program effectiveness.
   » Develop internal and external partnerships that enhance 4-H youth development programming, the division and OSU.
   » Provide oversight management of the 4-H State Fair by working in partnership with state 4-H team members, advisory committees, student workers, volunteers, and state ambassadors.
   » Coordinate and manage OSU's 4-H State Fair budget, fair book, staff guidebook, fair and work schedules.
   » Coordinate the set up and tear down of 4-H Exhibit Hall during the Oregon State Fair.
   » Serve as liaison with Oregon State Fair, attend quarterly meetings, develop memorandum of knowledge (MOU's) and cascade communication to pertinent 4-H staff and volunteers.
   » Coordinate youth participation in National 4-H events such as Ignite by 4-H and 4-H National Conference.
   » supervise logistical coordination, chaperone selection, and training for 4-H National and International contests (such as FCS Contest, NAILE, and International Dairy Judging).
   » Responsible for collaborating with 4-H Research Coordinator to ensure Statewide Events have needs assessments and event program evaluation. This includes ensuring that events evaluated for accessibility and capability to reach broad and diverse groups with varying backgrounds and needs.
   » Manage contracts procurement and RFP processes in conformity with OSU procedures (such as contracts for audio visual, vendors, speakers, facilities, lodging, food service, transportation).
   » Manage event budgets and ensure all invoices are submitted in a timely fashion to 4-H Fiscal Coordinator.
   » Implement fee-located programming and cost recovery practices, develop strategic partnerships, and solicit internal and external funding to support and enhance educational programming.
   » Develop and supervise event registration processes.
   » Collaborate with 4-H Communications Coordinator to ensure Statewide events are strategically promoted and marketed to serve a broad and diverse audience.
   » Ensure that events are culturally significant and intentionally designed to meet audience needs.
   » Hire, onboard, and supervise student workers and delegate to students the appropriate event coordination, management, and marketing tasks. Students supervised may have different identities, backgrounds, and communication styles.
   » Follow OSU and division brand guidelines, digital publishing standards and digital contact management data integrity practices for programmatic communications, marketing and engagement.
   » Attend training opportunities to build basic knowledge and consistent skills to use digital communications, marketing and engagement technologies significant to position tasks.
   » Complete the division's civil rights training session(s).
   » Create accessible and inclusive environments that make space for a range of learner needs and provide reasonable accommodations.

20% Statewide 4-H Family & Consumer Sciences and Expressive Arts Project Management
   » Develop and deliver educational programs, trainings, events, and certifications for 4-H youth, volunteers, judges, and/or faculty and staff around the specialization areas of Family and Consumer Science and Expressive Arts. Employ best practices of positive youth development engagement and 4-H program model theory.
   » Develop appropriate tools for evaluation of the effectiveness and impact of educational programs for youth and families.
   » Work in partnership with state 4-H team members, development and advisory committees, and project area superintendents to supervise the hiring of State Fair exhibit and contest judges and the judging of State Fair exhibits and to assist with set up of the exhibit hall displays and judging contests related to areas of specialization. Travel/driving is required.
   » Network and cooperate with subject matter specialists, county-located faculty, campus-located faculty, and external agencies to build support and develop new and innovative programs for 4-H and other youth related audiences.
   » Organize and maintain program task forces and development committees, to identify program needs, make recommendations, assist in program development and implementation, assist in curriculum development, and evaluate program effectiveness.
   » Facilitate active communication flow and collaboration between campus and county programs, volunteers, stakeholders, and Extension faculty and staff, including but not limited to using multiple methods of digital communication (i.e., web sites, publication, video conferencing, and other online methods).
What You Will Need
   » Bachelor's degree in Business, Marketing, Communications, Hospitality Management, Program Management, Parks and Recreation, Events Management, Animal Sciences, Youth Development or related field.
   » Demonstrated practice of managing, coordinating and planning large events (attendance over 100 people).
   » One year (1) practice managing complex projects and utilization of project management tools and resources.
   » practice developing work plans, monitoring progress and tracking details/data/information/activities.
   » practice using computers, including proficiency with information technology, professional office software and collaborative work platforms. This includes Microsoft Office, Word, Excel, Outlook, Publisher, Adobe Acrobat, conference registration software, Instagram, Facebook, and other application programs.
   » Strong verbal and written communication skills, with capability to communicate prosperously with a broad and diverse audience.

This position is designated as a critical or security-sensitive position; therefore, the incumbent must prosperously complete a criminal history check and be determined to be position qualified as per University Standard: 05-010 et seq. Incumbents are required to self-report convictions and those in Youth Programs may have additional Criminal History Checks every 24 months.

This position requires driving a university vehicle or a personal vehicle on behalf of the university; therefore, the incumbent must prosperously complete a motor vehicle history check, possess and maintain a current, valid driver's license in their state of residence, be determined to be position qualified and self-report convictions as per University Policy 05-030 et seq.

Working Conditions / Work Schedule The primary work location for this position is the OSU 4-H Youth Development Program office on OSU's campus in Corvallis, Oregon. However, flexible work may be established via OSU's Flexible Work Arrangement Agreement Form , with pre-determined periodic reviews of on-going work for continuation of the agreement.

Flexibility to execute work in a variety of office and work settings. Evenings and weekends may be required located on events and other educational programming needs.

Travel/driving will be required to fulfill the responsibilities of this position which includes logistical coordination of events on- and off-campus.
