The Barnes Foundation

The Manager of Campaign and Donor Relations is responsible for the strategy and implementation of all Second Century Campaign and Stewardship programs for the Advancement Department. This position will partner with colleagues to implement a best practices stewardship program that creates significant and multidimensional donor practices across the Barnes's fundraising programs.
Reporting to the Senior Vice President, Deputy Director for Advancement, this position works closely with the Director of Development Services, as well as other executive and development staff. In this campaign function, the Manager has primary responsibility for donor recognition and signage; donor endowment and operation reports; communications and correspondence; gift agreement templates; coordination on proposal development and generation; event strategy; and other related projects or initiatives as needed.
In addition, this position will serve as a program manager for the Barnes's Board of Trustees, including Honorary Trustees and Trustee Emeriti, to maximize their participation, recognition, and contributions. The Manager will assist with campaign strategy for various constituency groups including the Ambassadors Board, National Ambassadors Board, Professional Advisors Council, and the Advancement Committee of the Board.
Education/Training/practice:
   » Bachelors Degree and minimum of 6 years campaign, stewardship, membership, or major gifts practice, or other related development and arts related practice
   » Excellent oral and written expertise
   » Proficiency in Salesforce or comparable donor management software
   » Proficiency in Microsoft Office Suite
   » practice developing marketing and reporting materials

Job responsibilities:
Donor Relations and Stewardship Initiatives
   » Designs, documents, and implements a systematic and integrated donor relations program that encompasses donor recognition events, endowed position procedures, and building naming dedications.
   » Develops and assesses policies and procedures across the department and the Foundation that are essential for a comprehensive donor relations program.
   » Establishes and manages information tracking processes for acknowledgements, recognition, on-going communications, and continued cultivation of past and current major donors to enhance their relationship with the Foundation and increase the likelihood of continued contributions.
   » Responsible for devising and using consistent, accurate, and appropriate information-sharing mechanisms for stewarding prospects and donors. Proactively supports the stewardship responsibilities of the development staff by assisting them in establishing and coordinating individualized stewardship plans for donors.
   » Works collaboratively with Advancement staff, including campaign, major and leadership abilities gifts, foundations and government relations, corporations and annual giving, to coordinate communication and messaging for acknowledgement letters and correspondence; program scripts and participant remarks (as needed), along with the creation of program materials. Additionally, works to ensure strategy development for event invitation lists, engagement opportunities for featured program participants, and support of recognition and donor awards.
   » Responsible for working closely with the Director of Communication and other staff on an continuing basis to develop messaging to be included in acknowledgement letter templates to be used in all gift acknowledgement correspondence.
   » Contributes donor listings and gift information for the Foundation's Annual Report and supervises production of the donor thank you brochure, including determination of report recipients and mailing and distribution of materials.
   » Responsible for creation, production, and installation of donor signage listing and named building spaces.
   » Ensures all correspondence, attendance, and engagement between donors and the Barnes Foundation is tracked in Salesforce.
Barnes Second Century Campaign
   » Responsible for the writing and development of capital campaign print and electronic materials, including campaign donor listings and biannual newsletters on recent activities for donors and prospects, coordinating their design and production.
   » Manages campaign solicitation and outreach tracking system and coordinates research requests as needed.
   » supervises acknowledgement of campaign gifts and pledges and preparation of pledge payment reminders and pledge agreements.
   » Creates and maintains annual budget for the campaign, including revenue and expenses. Manages expense budget, ensuring spending for all budget lines to align with projections.
   » Identifies and coordinates recognition opportunities all over the institution for campaign donors.
   » Responsible for the creation and execution of customized donor endowment reports on all endowed named funds.
   » Writes campaign correspondence including solicitation proposals, meeting requests, and meeting follow-up.
   » Compiles materials for meetings with donors including data/analytic reports, proposals, briefing documents, written correspondence, and stewardship documents as needed
   » Facilitates the drafting and review of Campaign Gift and Endowment Agreements for accuracy and compliance.
   » Assists with the creation of campaign strategies for constituencies that include the Ambassadors Board, National Ambassadors Board, Professional Advisors Council, Advancement Committee of the Board, and planned giving donors and prospects.
   » Administers the Planned Giving marketing materials, including oversight and distribution of biannual newsletters, e-newsletters; and follow up with prospective donors. Manages the outside marketing firms' contracts. Stewarding current members of the 1922 Legacy Society and drafting annual testimonial letter to recruit new members.
Major Gifts Administration
   » Recommends and facilitates publicity of major gifts and donors for inclusion in Foundation print and web-located publications and other communications, including credit lines and sponsor lockups for restricted giving such as support for exhibitions or institutional programming.
   » Coordinates and monitors the Foundation's recognition entities working closely with the Donor Engagement Manager, the Senior Director of leadership abilities Gifts, and other colleagues in Foundation Relations.
   » Serves as secondary contact with the relationship agent and the most significant donors, helping to resolve problems, questions, and concerns.
Board of Trustees, including Honorary Trustees and Trustees Emeriti
   » Plans and drafts regular correspondence to engage Honorary Trustees and Trustees Emeriti and inform them of the latest news, programs, and initiatives of the Foundation, including an annual event/presentation for the Director to summarize institutional accomplishments.
   » Designs highly individual strategy and stewardship plans and works with development staff on implementation.
   » Responsible for drafting annual Chair Report detailing Development activities and all funds raised in a particular fiscal year
