Organizational Unit Overview The Division of Student Affairs consists of over 30 departments, each of which is responsible for providing a variety of student support, service, and educational programs which are accessible to the university community. With over 300 full-time employees and over 1,200 student workers, the Division supports Pirate success through environments that enhance student development, engagement, belonging, well-being, and career readiness.

The Student Services Operations unit is comprised of the Senior Associate Vice Chancellor, who reports to the Vice Chancellor, as well as Career Services, Center for Student Success, Discapability Support Services, Divisional Communications, Parent and Family Programs and Student Affairs Technology Services.

Job tasks The primary purpose of this position is to support, organize, and manage administrative, fiscal, and operational efforts for the Student Services Operations unit. This position will directly support the Senior Associate Vice Chancellor in carrying out the tasks and responsibilities of managing the Student Services Operations unit and serve as lead administrator for the unit and its departments. This position will also serve and support, as needed, to the Vice Chancellor for Student Affairs.

Budgeting & Finance (20%)
Establishes and maintains paper and electronic files and budgeting records for the Senior Associate Vice Chancellor. This position will be responsible for all PORT orders, submitting journal entries as requested, completing ProCard purchases, and reconciling in Chrome River for the Senior Associate Vice Chancellor as well as all Student Services Operations departments. This position will monitor departmental budgets and track all expenditures. Responsible for managing travel, making equipment/supply purchases, reviewing Kronos, and submitting deposits as needed for the Student Services Operations units/departments. This position will contact with other offices across the Division and University to ensure accuracy and compliance.

Planning & Organizing (20%)
The Executive adjunct represents the Senior Associate Vice Chancellor for Student Affairs and the Student Services Operations unit and its departments. This position must exercise complete accuracy and attention to detail when organizing communications and correspondents as well as managing events, appointments, speaking engagements and functions. This position problem solves in response to requests from the key administrators as well as coordinates and tracks projects to ensure that responses are handled in a timely manner and that deadlines are met. The position must be very flexible and able to work on multiple projects concurrently.

This position monitors a variety of information that directly impacts the Senior Associate Vice Chancellor and must plan, direct, and coordinate many tasks simultaneously for the Division to meet various deadlines and expectations from a wide variety of internal and external constituents. Must be able to operate independently and have a strong sense of priorities and capability to quickly gain knowledge of the issues which are currently under consideration by the office. The position will develop ideas into plans of action and to coordinate the actions through implementation. This position will draft and prepare correspondence for internal announcements, meetings, and organizations and assist in preparing and managing presentations and slide decks.

Knowledge - Program (20%)
The Executive adjunct must manage sensitive and highly confidential issues and always remain a consummate professional. The position must be independent and resourceful; and must have an in-depth knowledge of policies, procedures, and protocols since this position is constantly communicating information to internal and external constituents. This position must maintain knowledge of a broad spectrum of educational programs and student development activities, student affairs regulations, policies, and procedures because of the diverse focus within the Division.

In working with various administrative units, the incumbent will have a working knowledge of the various programs that the division supervises and an in-depth knowledge of the Student Services unit and its departments as well as the Senior Associate Vice Chancellor's scope of responsibilities. These programs include Parent & Family offerings (such as Fall/Spring Family Weekends, regional events), Career Services offerings (Career Fairs, etiquette dinners, mock interviews), Discapability Support Services offerings (accommodation requests, testing centers), Center for Student Success offerings (Financial Wellness workshops, First Year Assessment (FYA) outreach and case management, Hubs in Main Campus Student Center), Divisional Marketing and Communication (website and social media management, photography/videography offerings, liaison and communications), and SA Technology (workstation repair, server management). The Senior AVC is also responsible for managing all divisional policies, rules, and regulations (PRR'S) including the creation of new PRR'S or revising, editing, and updating of existing divisional PRR's and co-chairing University Commencement (with Chancellor's Chief of Staff) which includes organization, coordination, communication, and the execution of university ceremonies as well as college/department ceremonies each fall/spring. The position is required to know specific functions and staff assignments within the unit, division and university to communicate rules, regulations, and policies under which the division operates, and must understand how these specific functions/staff relate to the capability of the Division to achieve its stated mission and goals.

Interpersonal expertise & Communication (20%)
This position will use interpersonal expertise and communicate with a high degree of discretion, judgment and independence, communicating effectively and working well with a wide variety of constituents, both internal and external to the University, including administrators, students, parents, faculty, state and federal authorities, both orally and in writing. This position will be expected to manage sensitive and highly confidential issues in a manner that will promote confidence in the Senior Associate Vice Chancellor.

This position will independently research, develop and draft letters, memos, or reports for the Senior Associate Vice Chancellor. This position will use good judgment and exercise discretion in conveying both verbal and written information.

Maintains the Senior Associate Vice Chancellor's calendar, schedules appointments without prior approval located on the knowledge of her responsibilities and issues of importance; prevents scheduling conflicts and resolves conflicts with the schedule. This position possesses logistical expertise to maximize the Senior Associate Vice Chancellor's time and will locate and assemble information for meetings that the Senior Associate Vice Chancellor attends and also assemble information for various reports, briefings, and conferences. This position will plan and organize conferences, retreats, and/or other meetings for the Senior Associate Vice Chancellor.

Problem Solving (15%)
This position identifies and resolve problems, uses discretion and judgment in knowing when these need to be passed along to the Senior Associate Vice Chancellor. Researches and makes recommendations for unusual and novel situations. Examples may include internal/external media requests and constituent issues that need to be addressed, and inquiries related to accommodations, career readiness initiatives, PRR processes, operation of testing centers, logistics of University Commencement, website/media regulations and OCR complaints, coordination of FYA survey results and case management, collaboration on student success initiatives across the University, or specialized/nuanced requests for family-focused or financial wellness services. Should be able to anticipate and negotiate solutions for potential problems that could impact the Associate Vice Chancellor and the department. Problems are addressed in conformity with priorities, policies, commitments, and goals of the department. Routinely coordinates and facilitates solutions with external and internal organizations and constituents. Follows up to ensure that the correct information and solutions are supplied and that deadlines are met.

Information/Records Administration (5%)
Establishes and maintains paper and electronic files and records for the Senior Associate Vice Chancellor in a manner that conforms to established policy and archive procedures. Maintains leave records for direct reports to the Senior Associate Vice Chancellor and select staff. This position will be responsible for maintaining all records, approvals, and paperwork related to PORT orders, ProCard purchases, Chrome River and travel reimbursements for the Senior Associate Vice Chancellor Office and reporting units.

Minimum Education/practice High school diploma or equivalency and three years of progressively responsible administrative/office management practice; or Associate degree in secretarial science, business administration, or a related discipline and one year of progressively responsible administrative/office management practice; or Bachelor's degree, preferably in business administration or a related discipline; or equivalent combination of training and practice. All degrees must be received from appropriately accredited institutions.
