BalletX is seeking a Development & Annual Fund Coordinator to join our dynamic team. this function is pivotal in managing our annual fund, enhancing donor relationships, and driving revenue growth through strategic campaigns and stewardship activities. The ideal candidate will possess exceptional organizational expertise, strong interpersonal communication abilities and writing proficiency, creativity, and a proactive approach to fundraising.
Led by Artistic & Executive Director Christine Cox, BalletX is driven by a mission to expand the vocabulary of contemporary ballet for all audiences through innovative performances, world premiere choreography, dance education, and community programs. The company is recognized as a ?place of choreographic innovation? Our ideal candidate will be a goal-driven, passionate, and highly professional advocate for dance, with the capability to tackle the tiny details of fundraising administration while still seeing the bigger picture. This position is full-time with a income range of $50,000-$65,000 (title and income commensurate with practice) and accompanying benefits. BalletX is an equal opportunity employer.

Position Overview:
As the Development & Annual Fund Coordinator at BalletX, you will play a central function in advancing our vision to create extraordinary dance practices that inspire human connection. Reporting to the Major Gifts agent and Managing Director, you will lead efforts to cultivate donor relationships, manage the annual fund, and support the strong administration of BalletX's development department. This multifaceted function requires a combination of strategic thinking, creative problem-solving, and exceptional communication expertise.

Key Job responsibilities:

Annual Fund Management
   » Develop and execute comprehensive annual fundraising campaigns to increase annual fund ($1-$4,999) donor engagement and revenue.
   » Create compelling solicitation materials, including letters, emails, and social media content, to effectively communicate BalletX's mission and impact.
   » Implement strategies to identify and cultivate new donors while retaining and stewarding existing supporters.
   » Proactively seek out potential donor prospects to support the efforts of the Major Gifts agent in cultivating high-value relationships.
   » Analyze fundraising data and metrics to assess campaign effectiveness and identify areas for improvement.
   »
   » Donor Stewardship
   » Cultivate and maintain relationships with donors through personalized communication, including thank-you letters, emails, phone calls, and seatback notecards.
   » With the Administrative Coordinator, coordinate donor appreciation events, receptions, and other special activities to recognize and engage supporters.
   » Collaborate with the Development team to develop creative stewardship initiatives that enhance donor practices and foster long-term loyalty.

Donor Research
   » Conduct prospect research to identify potential major donors, foundation partners, and corporate sponsors.
   » Utilize various research tools and databases to gather information on donor interests, giving capacity, and philanthropic priorities.
   » Develop donor profiles and briefing materials to inform cultivation and solicitation strategies.

Administration and Database Management
   » Input incoming donations into the BalletX database, ensuring accuracy and completeness of donor information and gift details for effective stewardship and reporting purposes.
   » Process tax receipts and acknowledgments in a timely and accurate manner to comply with IRS regulations and donor expectations.
   » Maintain donor database integrity by updating records, tracking interactions, and generating reports as needed.
   » Manage and update fundraising pages on BalletX's website, ensuring accurate and engaging content to facilitate online giving and donor engagement.
   » Take minutes at development meetings, capturing key decisions, action items, and follow-up tasks to facilitate communication and accountcapability within the team.

Collaboration and Innovation
   » Work closely with the Development team to brainstorm and implement new fundraising strategies and initiatives.
   » Collaborate across the BalletX organization, including with Marketing and Finance, to integrate fundraising efforts and maximize impact.
   » Stay informed about industry trends and best practices in fundraising to inform decision-making and drive innovation.

Appropriate qualifications:
   » Bachelor's degree in a related field (e.g., nonprofit management, communications, marketing) is preferred, but not required.
   » Minimum of 2 years of practice in nonprofit fundraising or development, with a focus on annual giving preferred.
   » Excellent written and verbal communication expertise, with the capability to craft persuasive fundraising appeals, donor communications, grant proposals, and reports.
   » Strong interpersonal expertise, with the capability to build rapport and maintain positive relationships with donors, colleagues, and external partners.
   » Highly organized and detail-oriented, with the capability to manage multiple priorities and deadlines effectively.
   » Proficiency in database management and Microsoft Office Suite (e.g., Excel, Word, Outlook).
   » Creative thinker with a proactive mindset and a availability to explore new ideas and approaches to fundraising.
   » capability to work some evening and weekend hours as necessary for events and performances.
