Job Summary This recruitment will be used to fill one full-time Executive Support Specialist 1 position for the Department of Horticulture at Oregon State University (OSU).

Provides confidential secretarial support and performs administrative work for the Department Head, Administrative Manager, and Head Advisors. Supports these positions in the Horticulture department with secretarial/program and project support. Collects and compiles information on a variety of subjects related to Horticulture and Extension Offices operations. Ensures College of Agricultural Sciences and departmental policies are followed, assisting in communicating and enforcing with faculty, staff and students. Tracks, maintains and coordinates department databases, central filing system, equipment and space management. Acts on behalf of the administrative manager when scheduling and arranging appointments, meetings, and conferences, and when coordinating department-wide projects or activities.

Key Responsibilities 40% Secretarial Support. Anticipates leadership abilities's needs by furnishing information required for official reply to correspondence and other official acts; locates, assembles, edits, and summarizes material, information, and data for administrative action; maintains written control of materials received, routed, assigned, or disposed of in the agency; may take and transcribe dictation of confidential, technical, or legal information; records and transcribes proceedings of meetings and conferences; researches information and composes correspondence, reports, memos and other documents; maintains leadership abilities's and department calendar and advises of commitments; makes arrangements for meetings and special conferences; arranges travel itinerary and accommodations; prepares and submits travel and expense claims; maintains files of correspondence, reports, instructions, guidelines, and similar material frequently referred to by leadership abilities; opens, scans, or reads, and distributes mail; receives, interviews, and screens callers and visitors; serves as communication link between administrative superiors and Extension staff, other State directors or their staff, Federal government personnel, and/or the public; responds to complaints or concerns by obtaining all pertinent details and contacting appropriate department personnel for necessary action.

35% Program/Project Support. May supervise student employees providing secretarial and clerical support in the department office; assigns and distributes work; reviews completed work; coordinates with administrative superior for office coverage; assists with interview schedules and coordination; trains/provides department information to new hires; works with faculty to coordinate hiring needs and work plans; ensures departmental policies are followed Responsible for smoothly and efficiently prioritizing and scheduling the people, events, and items requiring attention.

20% Administrative tasks. Compiles information on a variety of subjects related to department operation at the request of the administrative superior; creates reports and documents as requested by department personnel; solicits information for a monthly or quarterly department newsletter; maintains appropriate department records and communicates to administrative manager when issues arise; notifies all appropriate personnel regarding building or other issues affecting the department; maintains personnel records, inventory records of supplies, equipment, and materials and orders supplies for office. Work collaboratively with diverse student and workforce populations.

5% Other tasks as Assigned

What We Require
Three years of clerical/secretarial practice which included: one year at a full performance level performing typing, word processing, or other generating of documents; and lead work responsibility or coordination of office procedures. Courses or training in Office Occupations or Office Technology may be substituted for up to one year of the clerical/secretarial practice. No substitution will be made for the one year at the full performance level.
What You Will Need This position is designated as a critical or security-sensitive position; therefore, the incumbent must prosperously complete a criminal history check and be determined to be position qualified as per University Standard: 05-010 et seq. Incumbents are required to self-report convictions and those in youth programs may have additional criminal history checks every 24 months.
