Position DescriptionJob Summary: Under the direction of the adjunct Controller, the Accounts Receivable Specialist/Cashier is responsible for providing courteous, customer-oriented support to students, faculty and staff, and the general public. This position supports all aspects of the accounts receivable and cashiering functions of the college. Essential tasks and Job responsibilities: tasks and responsibilities include but are not limited to: • Serve as a back-up cashier by receipting funds received for the college from all sources, which includes but is not limited to: student payments, third-party sponsorship payments, electronic fund transfers, and donor gifts and scholarships. • Remote deposit of all incoming checks received for the foundation. • Assisting students with all questions pertaining to payments, refunds, collections and deadline dates. • Analyze student accounts to determine eligibility of refunds due from dropped classes or Financial Aid wards. • Voucher student refunds for AP processing. • Assist with reviewing student accounts relative to collections, refunds and financial transactions. • Assist with all aspects of active collections of outstanding debt by monitoring balances, sending letters, and updating collection agencies and NC Department of Revenue. • Assist with updating and maintaining student business office holds. • Prepare, balance, reconcile and transmit the everyday deposit. • Maintenance of change drawer and petty cash drawer to include issuing petty cash funds to faculty/staff. • Keeping up with supplies needed for accounts receivable area and submitting orders to e-procurement user and print shop. • Maintaining accounts receivable files, both hard copy and electronic by keying data, sorting, copying, scanning, filing, and assembling all accounts receivable documentation. • Assist with maintaining a log for all manual receipt books and lock boxes for check out. • Assist with reconciling assigned general ledger accounts to include AR clearing, sponsor clearing and returned check accounts. Related Job responsibilities: • Apply budget code knowledge to everyday workflow. • Maintain confidentiality of student information and understand FERPA regulations. • Works closely with Continuing Education, Bookstore, Financial Aid and Student Services. • Maintain a professional and positive relationship with students and outside institutions. • Maintains an environmentally safe and professional work area. • Other tasks assigned by adjunct Controller, Controller or VP for Finance and Administration. Knowledge, expertise and Abilities: • Problem solving and analytical expertise • Self-motivated and able to work with little supervision • Effective and professional written and oral communication expertise and organizational expertise • knowledge of and commitment to open-access community college philosophy, diversity issues, and service delivery technology • capability to communicate effectively both orally and in writing with and among a diverse population • Use tact and confidentiality in dealing with personal and private matters • capability to work efficiently and effectively under pressure and against deadlines Scheduling: This is a full-time position, working Monday through Friday, 8:00 a.m. - 4:30 p.m. An employee in this positon must be available to work occasionally on weekends and evenings, during peak periods. Travel: Local travel is required, including between campus locations. Out of state travel is limited, but may be required for special trainings/conferences.
