Job Summary This recruitment will be used to fill one full-time Office Specialist 2 position for the Student Life team at Oregon State University - Cascades.

This is a limited duration appointment expected to last until approximately June 30th, 2026.

This position is located in Bend, OR.

The Office Specialist 2 ensures the efficient operation of the Office of Student Life by performing a variety of clerical and administrative tasks. This position will review and coordinate both student and professional staff marketing materials including, but not limited to, printed media, newsletters, digital screens, event posting on Bend Beavs Central, and social media postings.

The Office Specialist 2 will also coordinate space operations in the Student Life Office in the Student Success Center; coordinating with student and professional staff, and assisting the connected Students of Cascades Campus

Additionally, the Office Specialist 2 serves as the primary marketing and social media coordinator for the connected Students of Cascades Campus.

Key Responsibilities 55% - Office of Student Life and Student Government Administrative Support
   » Welcomes and directs students, faculty and staff, and visitors.
   » Answers and transfers calls, screening when necessary.
   » Maintains both physical and digital filing systems as assigned.
   » Retrieves information as requested from records, email, minutes, and other related documents.
   » Responds to and resolves administrative inquiries and questions.
   » Coordinates financial transactions with student organizations and clubs through scheduling and follow-up for receipts and processing. May also assist with various off-campus errands in the office.
   » Coordinates and schedules meetings and appointments for managers and managers, when appropriate.
   » Maintains office supplies and coordinates maintenance of office equipment.
   » Manages event marketing process, including both print and digital materials
   » Room reservations
   » Website editing and updating
   » Concur/financial tracking support
   » Printed material updating

25% - Student Government Marketing & Public Relations Support
   » Coordinate event and engagement marketing for OSU-Cascades student government staffers
   » Maintains connected Students of Cascades Campus (ASCC) social media and event registration platforms

15% - Office of Student Life Event Support
   » General support for student life sponsored events, including Fall Welcome, traditions events, and events managed by the coordinator team
   » Event setup, material printing, training support, and material purchasing

5% - Other tasks as Designed
   » Assists with the oversight of student employees in the office; includes Office adjuncts, Programming Coordinator, and Orientation Leaders.
   » Performs other related tasks as assigned.
What We Require
Two years of general clerical practice. One year of which included typing, word processing, or other practice generating documents; OR An Associate's degree in Office Occupations or Office Technology; OR Graduation from a private school of business with a Certificate in Office Occupations or Office Technology and one year of general clerical practice. College courses in Office Occupations or Office Technology will substitute for the required practice on a year-for-year basis.

This position is designated as a critical or security-sensitive position; therefore, the incumbent must prosperously complete a criminal history check and be determined to be position qualified as per University Standard: 05-010 et seq. Incumbents are required to self-report convictions and those in youth programs may have additional criminal history checks every 24 months.

This position requires driving a university vehicle or a personal vehicle on behalf of the university; therefore, the incumbent must prosperously complete a motor vehicle history check, possess and maintain a current, valid driver's license in their state of residence, be determined to be position qualified and self-report convictions as per University Policy 05-030.
