Job Summary This recruitment will be used to fill one full-time Administrative Program adjunct for the Division of Extension and Engagement. This position will serve the Extension Service in Baker County.

This Administrative Program adjunct position is located at the Oregon State University Extension Service office in Baker County which is located in Baker City, Oregon. The OSU Extension Service engages the people of Oregon with research-located expertise and education that strengthen communities and economies, sustain natural resources, and promote healthy families and individuals.

Purpose of this Position
As a support team member of the OSU Extension Baker County Office, this individual will assist with business functions, general office support, record processing, information assistance and technical assignments and tasks as designated by the Administrative Office Manager and Regional Director. This position will also serve as the point of contact for the Baker County Fairboard for the coordination of events with the Baker County Fairgrounds Complex.

Key Responsibilities This Administrative Program adjunct embeds the commitment of the university to a collaborative and inclusive community in all interactions and tasks performed and practices a welcoming and respectful workplace culture.

50% Fairgrounds Complex Coordination
   » Coordinate the advertising and promotion of the Complex for use of its facilities and grounds year-round.
   » Market the use of the Complex by means of advertisements, social media and the Complex website.
   » Work with local media outlets to provide press coverage for the Baker County Fairgrounds' activities, projects, and the Baker County Fair.
   » Coordinate the Complex web presence and social media accounts.
   » Coordinate general maintenance of facilities.
   » Coordinate Fair Complex rentals.
   » Assist in coordination of planning and preparing for the fair.
   » Attend Fair Board meetings and, at least annually, the Baker County Commissioner meetings providing an annual update.
   » Compile written reports to present to the Baker County Fair Board/Commissioners including long range planning documents (goals, objectives), financial reporting, programs, grants, correspondence and other items of interest to the Fair Board. Take minutes at Fair Board meetings. Maintain communication and ensure adherence to policies with Fair Board on all significant matters.

30% General Office Support
   » Type and format a wide variety of documents (e.g., letters, reports, memos, news releases and newsletters).
   » Input and keep data current for mailing lists in database programs.
   » Order office supplies, photocopy documents, organize and maintain filing systems, file information in policy, procedure, and other manuals.
   » Update and maintain web pages.

5% Publication Support
   » Develop, design, prepare, and proof newsletters, flyers, meeting announcements and brochures.
   » Copy and mail newsletters and meeting notices to various public via mailing lists.

5% Information and Assistance
   » Receive, route, and respond to mail, e-mail, and fax inquiries from the public.
   » Greet the public, providing a welcoming and inclusive customer practice and direct them to appropriate Extension faculty if a general question cannot be answered.
   » Provide information about services and publications available through the OSU Extension Baker County Office.

5% Business and Administrative Functions
   » Identify, order, and review supply needs.
   » Assist the Administrative Office Manager with budget preparation and analysis.
   » Input information for invoice and travel payments utilizing the OSU Financial system (FIS).
   » Collect and may deposit funds for publications, services and fees; record and maintain all transactions for such deposits.

5% Other
   » Perform other tasks as assigned.
   » Provide a welcoming and inclusive customer service.
   » Attend training opportunities to build basic expertise and consistent expertise to use digital communications, marketing and engagement technologies significant to position tasks.
What We Require Three years of office practice which included two years at full performance level and practice generating documents; and Lead work responsibility or coordination of office procedures.

This position is designated as a critical or security-sensitive position; therefore, the incumbent must prosperously complete a criminal history check and be determined to be position qualified as per University Standard: 05-010 et seq.
