Primary Purpose of Position The primary purpose of this position is to provide administrative support to the Associate Dean for Research and Interdisciplinary Collaboration, and others supporting research and graduate education in the Dean's Office of the College of Humanities & Earth and Social Sciences (CHESS).

tasks include managing and reconciling budgets; supporting application processes for internal funding opportunities; preparing travel authorizations and reimbursements; assisting in the organization of research-related meetings, workshops, and events; preparing reports/communication/spreadsheets for distribution; organizing and maintaining an electronic filing system; posting timely information about research funding opportunities; processing mail; photocopying documents; and serving as back-up to the receptionist at the front desk (tasks are shared among staff in the Dean's Office as needed).

This position requires strong interpersonal, communication, customer service, computer competency expertise, and attention to detail. This position reports to the Associate Dean for Research and Interdisciplinary Collaboration.

Minimum Education/practice Required Minimum Appropriate qualifications:
Graduation from high school; or an equivalent combination of education and practice.

University Preferred Appropriate qualifications:
Graduation from high school, or completion of its equivalency, and three years of office/clerical work practice; or an equivalent combination of training/practice.

Essential Job tasks
   » Manage the administration of internal proposal submission processes, including the CHESS Small Grants Program and multiple other funding opportunities.
   » Work with the Associate Dean to develop application forms, send out calls for proposals, manage and organize submissions, coordinate with selection committee, notify candidates, and track awards.
   » Assist Associate Dean with coordinating and prioritizing funding requests located on account balances.
   » Produce budget documents and reports on demand.
   » Maintain knowledge related to program operations in order to assist and advise faculty, staff and external stakeholders in all areas of policy and procedures.
   » Compile the College-wide CHESS Digest with information for faculty and staff about opportunities and events. Distribute Information technology weekly during the academic year and periodically during the summer.
   » Collect and distribute, as necessary, information and communication related to college-wide research activities and opportunities.
   » Coordinate meetings of the College Research Advisory Committee and communicate with its representatives about changes and developments.
   » Attend and record proceedings of meetings called by the Associate Dean for Research and Interdisciplinary Collaboration as needed.
   » Greet, assist, and direct faculty, students, and guests/visitors of the Dean's Office.
   » Clearly articulate information, and policy or procedure explanation on request.
   » Assist the Associate Dean for Research and Interdisciplinary Collaboration and other administrators in the Dean's Office in developing new opportunities and approaches for promoting research, pursuing external funding, promoting interdisciplinary collaboration, and supporting graduate education.
   » Comprehend issues that may arise and seek out significant information in order to resolve them independently, but understand when consultation is necessary.
   » Assist the Associate Dean for Research and Interdisciplinary Collaboration in preparing and initiating tasks connected with research opportunities and graduate education.
   » Maintain the research section of the College website and keep research opportunities up-to-date.
Other Work Responsibilities
   » Independently, and with Associate Dean authorization, compose memos and reports and respond to inquiries that require written explanation.
   » Provide logistical support for the organization of meetings, workshops, and other research-related events, including an annual recognition event for faculty in the College. Reserve space, manage invitations, track reservations, order food when applicable, prepare program and other materials, provide support at the event, and administer post-event evaluation survey.
   » Complete 49er Requests, travel authorizations, travel reimbursements, purchase orders, EPAFs payments, and e-forms for the Associate Dean for Research and Interdisciplinary Collaboration and other administrators in the Dean's Office as needed.
   » Consolidate and maintain accurate and up-to-date records/reports for internal grant awards and/or commitments which have been awarded.
   » Maintain calendar and schedule meetings for the Associate Dean for Research and Interdisciplinary Collaboration as needed.
   » Establish and organize everyday and long-term work priorities.
   » Supervise work-study students as needed.
   » Other tasks, as assigned.
Departmental Preferred practice, expertise, Training/Education
   » Four-year degree in Business Administration or a similar discipline is preferred.
   » practice working in Higher Education is desired.
   » Intermediate knowledge of Microsoft Office (Excel) and G-Suite software is strongly preferred.
   » The capability to work with very careful attention to detail and deadlines is essential.
   » practice with Banner, Report Central, 49er Mart, NORM, P-Card, or similar University systems is desired.
   » Strong written and verbal communication expertise are preferred.
   » practice with problem solving, resourcefulness, and effective communication expertise are a plus.
   » capability to work independently, with a high level of professionalism, customer service orientation, and an knowledge of confidentiality is strongly preferred.
