Primary Purpose of Position This position serves as the Strategic Program Coordinator - with responsibility for working in close coordination with the Executive Director and other departmental leaders to support the evolution of the Finance, Quality, and Business Operations unit. Some tasks include, but are not limited to: fiscal management, research and development, business and office administration, strategic planning support, unit records, event scheduling, and website maintenance, etc. Serves as a resource for unit leadership abilities in the areas of analytics, process improvement, material acquisition and logistics, fleet management, customer operations, finance, and quality assurance, as well as the development and monitoring of the unit's KPIs, OKRs, and other performance metrics, strategic goals, etc. Additionally, this position manages all FM discretionary funds, as well as financial reporting for FM mini-grants, grants, etc. Develops reporting tools such as complex spreadsheets, revenue and expense tracking, monthly reporting and a graphical representation, customer service, and WR status updates, balanced scorecard updates, etc. Monitors FM Service Level Agreements (SLAs) using analytical tools such as Excel, dashboards, etc.- providing monthly reporting to customers and/or other stakeholders. Minimum Education/practice Required Minimum Appropriate qualifications: Bachelor's degree; or equivalent combination of training and practice. All degrees must be received from appropriately accredited institutions. Essential Job tasks » Reporting to the Executive Director, serve as senior administrative support for the unit. » Administer departmental programs such as apprenticeship programs, etc., as assigned. » Manage departmental funding sources as assigned. » Assist with procurement functions, purchasing card activities, etc. » Develop reporting tools such as complex spreadsheets, revenue and expense tracking, monthly reports, etc. » Serve as a Financial Account Manager within Facilities Management. » Manage the department's website content and messaging. » Draft specialized publications, charts, representations, reports, standard operating procedures, customer communication tools, etc., as assigned. » Assist in the development of new unit strategic initiatives; » Create and update strategy maps, balanced scorecards, etc.; Monitor unit KPIs, strategic goals, performance metrics, etc. » Participate in process improvement projects and other special projects, as assigned. » Research external funding opportunities for FM; » Communicate with FM departments/units, and campus customers to request and/or provide information; » Use Microsoft Office Suite (Word, PowerPoint, Excel, and FrontPage) on a everyday basis to create reports and correspondence and Google Chrome to send emails.
