Job Summary/Basic Function: About this function:

This position provides complex administrative support to department or work unit. Interprets and explains policies and procedures and resolves problems or complaints as necessary. This job title provides customer service by greeting and assisting customers; taking incoming calls and routing calls to the correct office or person; copying and distributing messages within the office; and answering questions from students, faculty, staff, and the public.

What You'll Do - Position Job responsibilities:
   » Provides administrative support to the Earth and Space Sciences Department office. Assists other administrative staff as needed in the College of Arts and Sciences. Performs receptionist activities for all areas of the Earth and Space Sciences Department, including good customer service; greets visitors and students and ensures phone calls are answered promptly and directed appropriately. Serves as an essential communication link among faculty, students, general public, professional programs and internal university constituents.
   » Assists Department chair in the creation of annual class schedule. Submits appropriate forms for the creation or amendment of classes.
   » Assists chair in preparing and maintaining student electronic files, communicating with students and faculty, securely maintaining students' records and responding to questions about the Earth and Space Sciences Department from the public and students.
   » Assists Department chair in processing student requests. Utilizes the Lamar University ERP (Banner) to remove student advising holds, register students for classes, etc.
   » Processes and maintains record of travel request forms, vouchers, and receipts for faculty and staff reimbursement.
   » Assists Department chair with budgetary and procurement tasks. Maintains records or expertise of available budget for the Earth and Space Sciences Department. Maintains expertise of procurement procedures and utilizes Lamar University procurement software to create purchase requisitions and item receipts and monitor outstanding purchase orders.
   » Assists with general Earth and Space Sciences Department tasks (for example, deliveries on-campus, mail pick-up, copying papers, answering phones, filing, shredding, course materials. troubleshooting in covering current and prospective students' questions/issues, etc.)

   » Skill in using Microsoft Word, Excel, FileMaker Pro, PowerPoint, e-mail, and Enterprise Resource Planning (ERP) software (for example, Banner).
   » Communicate using excellent verbal skills.
   » Navigate in LU Lgain (Blackboard) learning management system.
   » Demonstrated relicapability in attendance and punctuality.
   » Skill in using photocopiers, FAX machines, multi-line phone systems and other office machines.
   » capability to understand and follow moderately complex oral and written instructions.
   » capability to effectively and tactfully interact with students, prospective students and the public.
   » capability to deal with several events at once, while effectively completing assigned work in a timely manner.
   » capability to work cooperatively with fellow employees and managers.

   » capability to be self-taught and self-motivated with a proactive approach to acquiring new skills and expertise
Physical Requirements:

Able to lift 25 lbs and be able to execute a variety of physical tasks including lifting, bending, stooping, squatting, stair climbing and walking between buildings.

Minimum Appropriate qualifications:
   » Associate degree or two years of college coursework related to job functions, or a combination of education and practice in related field (2 years of practice = 1 year of formal education).
   » One year of secretarial or office practice required
