Position Title: Title V Secretary

General Description: The Title V Secretary assists the Title V Project Director in managing the everyday administrative operations and coordinating events. Additional responsibilities include maintenance of budget files, program records and reports. The Secretary will have a comprehensive expertise of college policies and procedures and the federal policies and procedures governing the operation of Title V: Preparing Union Students Career Success.

Characteristics, tasks, and Job responsibilities: • Performs all administrative support tasks for the Title V: Preparing Union Students for Career Success program and project staff.
• Collaborates with Title V: Preparing Union Students for Career Success staff and Student Development and Academic Affairs staff.
• Responds to inquiries from prospective and current students.
• Maintains grant budget records and prepares purchase order requisitions.
• Maintains accurate department files and records.
• Coordinates logistics for the Title V: Preparing Union Students for Career Success meetings, workshops, and other events.
• Assists in the preparation of reports for internal and external distribution.
• Collaborates with College Relations to develop program materials.
• Maintains and updates information on the Title V: Preparing Union Students for Career Success Canvas page.
• Records meeting minutes for project meetings.
• Initiates purchase requests for supplies/materials required for operation of the program and follows up on purchases orders and payments.
• Maintains inventory of program equipment.
• Performs other tasks as assigned by the Title V Preparing Union Students for Career Success Project Director.

Education Requirements: Associate Degree required.

practice: • Administrative office practice with grant projects preferred.
• Minimum of (3) years of office administration practice in an education setting.

Competencies and expertise Required: • Bilingual (Spanish/English), preferred.
• Administrative office practice with grant projects.
• expertise of Microsoft Office 365 and student information systems.
• capability to work independently with minimal supervision.
• Effective oral and written communication expertise.
• Efficient project and time management expertise.
• Professional and ethical decision-making expertise.

Physical Demands and Work Environment: • This position's tasks are normally performed in a typical interior/residence work environment, located on the activity scheduled.
• Some physical effort required; however, the employee must occasionally lift and/or move up to 25 pounds.
• No or very limited exposure to physical risk.
• Some travel required.

income: $36,225-$40,000

Terms of Employment: Full-time grant funded position (Title V Grant-Developing Hispanic Serving Institutions). Flexible schedule to meet department needs. Employee must establish primary residency in New Jersey within one year of appointment unless an exemption applies.
