General Description: The Payroll Specialist plays a critical function in the preparation, review, and analysis of semi-monthly payrolls for various categories of employees, computing pay data according to specifications of Federal and State mandates.

The Payroll Specialist is responsible for analyzing various payment files, calculating, verifying and posting a variety of complex payroll data fields such as gross pay, retirement, repayments, retroactive payments, hours, and tax information. Attention to detail, confidentiality, and strong analytical expertise are essential for success in this function.

Characteristics, tasks, and Job responsibilities: · Collects, audits and inputs payroll data to ADP including hirings, terminations and transfers.

· Updates ADP with rate changes, tax information, address information, pension deductions, GTL calculations and voluntary deductions for union dues, credit unions, etc. as need arises.

· Take ownership of all union documentation and reporting requirements to ensure compliance with established Collective Bargaining Agreements. Develop and produce all required and requested payroll reports and queries, ensuring accurate and timely information.·

· Reconcile dues for various bargaining units.

· Checks payroll input for accuracy against original documents. Reviews and verifies payroll output prior to submission.

· Exhibits regular, prompt attendance as an essential job responsibility.

· Prepares payroll remittance calculations and maintains records for union dues. Prepares payments for remittances.

· Records, analyzes, and maintains records of employee and college pension contributions.

· Works closely with the Human Resources department on payroll related issues.

· Stay informed about changes in tax regulations and other significant legislation affecting payroll processing. Ensure compliance with all applicable laws and regulations, and update payroll procedures accordingly.

· Maintain employee confidence and protect payroll operations by keeping information confidential.

· Conduct independent system audits to ensure income/wage information, deductions, terminations and leave information is accurate and timely.

· Prepares garnishment calculations and maintains garnishment records. Prepares electronic vouchers for garnishments.

· Maintains all related payroll registers, employee files and reports.

· Generates audit reports for all payrolls, for balancing purposes, to be submitted to Director for approval to send payroll to ADP.

· Processes manual payroll checks and maintains register under the supervision of the Director.

· Answers all questions concerning payroll accurately with professionalism.

· Collaborate with HR and Finance to resolve payroll discrepancies and ensure accurate record-keeping.

· Performs related tasks as assigned by manager or designee.

Education Requirements: Bachelor's degree required; degree in Business, Accounting, or Finance preferred.

practice: · Minimum five (5) years automated payroll system current practice preferred, preferably ADP software or similar full-service payroll software.
· Must be proficient in Microsoft office.

Physical Demands and Work Environment: · This position's tasks are normally performed in a typical interior/residence work environment, located on the activity scheduled.
· Some physical effort required; however, the employee must occasionally lift and/or move up to 25 pounds.
· No or very limited exposure to physical risk.
· Some travel required.

Terms of Employment: Full Time. Flexible schedule to meet department needs. Some evening, weekends, and extended hours will be required. capability and availability to travel on short notice to all on and off- campus sites as needed by the college. Mandatory overtime is required all over the year, especially at peak times. Employee must establish primary residency in New Jersey within one year of appointment unless an exemption applies.
