Minimum Qualifications

Associate degree in Office Systems Technology and/or high school diploma plus four years of acceptable work practice. Computer practice required. expertise of medical terminology required. Transcripts must be submitted with application to be considered.

Position Description

General Description: The Nursing Department Administrative adjunct operates under the supervision of the Nursing Department Chair and is responsible for performing secretarial tasks as required by the nursing faculty. The Administrative adjunct works with minimal supervision and manages routine clerical matters independently.
tasks and Responsibilities of the Position:
   » Serves as the primary contact person and receptionist for the Nursing Department.
   » Composes and types routine correspondence.
   » Maintains nursing and administrative files, maintaining confidentiality of student and personnel files.
   » Prepares tests and maintains test security.
   » Prepares records, reports, etc. from rough draft.
   » Duplicates reports, letters and other documents and distributes as appropriate.
   » Schedules appointments for Nursing Department Chair and faculty.
   » Assists Nursing Department Director with data collection related to student enrollment, attrition/retention, NCLEX results, and faculty license verification.
   » Assists Nursing Department Director with maintenance of student health records.
   » Assists Nursing Department Director with annual report to the NC Board of Nursing, departmental surveys, student exit interviews, student evaluations, and graduate employment status.
   » Maintains minutes of monthly Nursing Faculty Meetings and Advisory Committee Meetings.
   » Maintains database of all Health Sciences Division Advisory Committee members.
   » Administers tests, and/or study guides, handouts, etc. in absence of an instructor. Also responsible for collection of assignments and/or tests as necessary.
   » Assists faculty with student attendance records.
   » Assists instructors with bulletin boards.
   » Maintains adequate office supplies for Nursing Department faculty and staff.
   » Assists the Nursing Department Chair in administrative tasks such as typing, placing telephone calls, scheduling meetings, and appointments, etc.
   » Coordinates PN and ADN Pinning ceremonies.
   » Provides support to the Department Chair related to nursing orientation and pre-nursing.
   » Check all ATI assignments for 1st and 2nd year - notebooks for all nursing students.
   » EPIC training spreadsheet for First Health for 1st and 2nd year students and faculty.
   » Maintain all Immunization records for 1st and 2nd year.
   » Maintain records for all nursing student training for First Health and Scotland Hospitals.
   » Create Attestation forms for Scotland Hospital for each student attending clinical.
   » Assist ADN instructors on how to use an excel spreadsheet.
   » Send all forms needed for the new semester.
   » Create student folders.
   » Create spreadsheets for Annual Reports for PN.
   » Type test and/or answer keys when needed for PN.
   » Send health records of previous nursing students as requested.
   » Assist with disaster drills each spring semester.
   » Assist Instructors with unlocking doors to classrooms.
   » Assist students with class location or helping them find their instructors' offices.
   » Primary contact for facilities issues at Grimsley Building.
   » Other tasks as assigned.
