Job Summary This is an Internal Employment Opportunity

This recruitment will be used to fill one part-time (approximately 35 hours per week) Office Specialist 2 position for the Department of Procurement, Contracts and Materials Management (OSU). This is a limited-duration appointment expected to last approximately 4 to 6 months from the appointment begin date.


Office Specialist 2 supports the operations, supplier diversity, technology, and administrative functions within PCMM. The responsibilities may include collaborating and executing on projects that vary in scope and complexity. This position works closely with and reports to the Administrative & Diversity Manager. Positions within PCMM demonstrate equity and inclusion to enable success for people with diverse backgrounds.

Key Responsibilities 70% Operations
   » supervises general office and department everyday operations including payment and invoice processing, processing mail, calendar scheduling, event planning support, email communications and customer service support
   » Ensures the documentation for administrative standard operating procedures are up to date.
   » Supports outreach for the department by creating, purchasing and keeping track of promotional materials.
   » supervises department file archiving project collaborating with staff as needed.
   » Supports procurement and contracts units with requests for data reports, research, and database activities.
   » Provides administrative support for human resource activities like scheduling interviews, preparing documents for hiring committee, and onboarding new staff.

20% Technology
   » Supports office staff technology needs.

10% Other tasks and Projects
   » Other tasks as assigned
   » Foster a collaborative and inclusive environment for faculty, staff, students, and customers
What We Require
Two years of general clerical practice. One year of which included typing, word processing, or other practice generating documents; OR An Associate's degree in Office Occupations or Office Technology; OR Graduation from a private school of business with a Certificate in Office Occupations or Office Technology and one year of general clerical practice. College courses in Office Occupations or Office Technology will substitute for the required practice on a year-for-year basis.

This position is designated as a critical or security-sensitive position; therefore, the incumbent must prosperously complete a criminal history check and be determined to be position qualified as per University Standard: 05-010 et seq. Incumbents are required to self-report convictions and those in youth programs may have additional criminal history checks every 24 months.
