Work Schedule 8:00 am - 5:00 pm; Monday - Friday with occasional evening and weekend hours required, as necessary.

Primary Purpose of Position This position is responsible for operating a Loan Key Desk and performing general administrative and reception tasks connected with the loan key process, the Residence Hall Office, and supplemental assistance to the Residence Hall staff. this function is also responsible for the scheduling and supervision of student staff who work at the Loan Key Desk and front desks of buildings in their village area, as defined by the department. This may include up to 6 buildings/communities. The purpose of this position is to ensure security, efficient operation, and good customer service within these areas.

Minimum Education/practice Required Minimum Appropriate qualifications:
Graduation from high school and one year of related office practice; or an equivalent combination of education
and practice.

University Preferred Appropriate qualifications:
Graduation from high school and demonstrated expertise, expertise, and abilities gained through two years of specialized office practice or an equivalent combination of education and practice.

Essential Job tasks
   » Maintains and files reports and forms.
   » Receives and refers visitors, and callers of the reception desk area to appropriate resources in Housing and Residence Life (HRL) and other campus resources.
   » Refers students to other resources including Housing and Residence Life administration, ID Card Office, Meal Plan Services, and Handbook.
   » Assists students with form completion and providing factual or procedural information including obtaining and returning loan keys, lock changes, checking in, moving out, room changes, health, and safety inspections, applying for housing and cancellations, checking out residence hall equipment, and reserving common space for resident usage.
   » Responsible for maintaining confidentiality as this position deals with sensitive information.
   » Ensures timely and accurate billing when Information technology comes to loan key charges and fees.
   » Uses a variety of office equipment information systems (e.g. telephone, computer with standard software, fax, copier, etc.) to access, input, and verify standard information.
   » Uses computer software such as Mercury housing software, Google suite, Microsoft office, Canvas, and others to execute everyday administrative tasks and communication creation.
   » Coordinates the work schedules of Desk adjuncts.
   » Reviews and follows up on student work hours and payroll errors.
   » Supervises, coaches, and trains student staff on customer service desk procedures, frequently asked questions, loan key procedures and referral options.
   » Updates and publishes the Loan Key Desk Staff Manual.
