Organizational Unit Overview The mission of the Student Academic Success Services office is to support ECU students in achieving their academic goals through comprehensive academic success services. Situated within Academic Affairs, this office reports directly to Student Academic Success under Learner Operations and works within the Provost's office.

Public Contact and Program Knowledge - The Administrative Support Associate must have an in-depth knowledge university services, policies and procedures related to academic support services and tutoring. The Administrative Support Associate must possess the capability to explain services to all campus stakeholders including students, faculty, advisors, staff, and parents. The Administrative Support Associate must interpret center and university policies for center operations in services provided, employment policies, and financial policies. The Administrative Support Associate must maintain a detailed knowledge of the functions and services within the PASC and the advising collaborative at ECU.

Budget - Manage large budgets and budget transfers for Pirate Academic Success Center. supervise supply ordering and reconcile bills (Procard holder and reconciler). Order supplies through PORT. Provide oversight of phone and copy billing and notify billers of errors. Complete Direct Payment forms and discretionary forms. Maintain Payroll records for Director.

Files - Retaining, filing, accessing, and/or managing the work units' collection of forms, records, papers, and/or reports. This employee is responsible for ensuring the confidentiality of student records kept on file. To protect students from unauthorized disclosure of information, this employee supervises and monitors the access to student records and instructs the student workers in this area.

Records and Reports - Payroll and Budget record maintenance is a vital part of the Administrative Support Associate function. This employee must have the capability to exercise independent judgment and discretion in interpreting and executing matters related to financial records. This employee is expected to use the database effectively to keep data current in regards to financial and human resource procedures. Database information, financial records, and student files must be maintained with high levels of accuracy. This employee is responsible for entering and documentation regarding student hiring processes, EPAF processing, tax forms, and working closely with student employment and financial aid offices.

Composition - Explain the kinds and variety of items (letters, memos, directives, speeches, agendas, narrative reports, publications, etc.) that the position composes, writes, or drafts. Much of the correspondence is in the form of e-mailing informing students, faculty and staff of policies, programs, deadlines, changes, and in response to inquiries. This person sends program information to prospective students, assists in assembly of materials student outreach, and creates flyers and signs as needed. Discuss the resources used in composition and how and when they are used. Include specific guides, personal interviews, operating procedures reference books, persons, statutes, files, etc. which are used.

Office Equipment & Mail - The center uses many different technology devices for center operations. The Administrative Support Associate must integrate and understand the use of all pertinent technology. This employee supervises the processing of all incoming mail for the Pirate Academic Success Center. This employee makes decisions as to which may be handled routinely and which needs the Director's attention.

Supervision - This employee supervises student workers. This employee, in coordination of the director and other professional staff, assigns tasks and supervises their day to day work. This employee is responsible for monitoring the work flow of the office and ensuring adherence to all policies and procedures.
