Job Summary The Division of Academic Affairs is seeking an Executive adjunct. This is a full-time (1.00 FTE), 12-month, professional faculty position.

The Executive adjunct for Academic Affairs (EA) provides executive assistance, operational coordination, and office management in support of the Associate Vice Provost (AVP) for Academic Affairs (AA) and the AVP for Teaching and Learning and the programs, centers, and initiatives in their portfolio. This includes assistance for the Center for Teaching and Learning (CTL), Core Education and related pedagogical support, Assessment, and Undergraduate Academic Affairs. The DAA advances and supports rigorous, transformative education that is accessible to all learners. DAA offers support to programs across modalities, creates opportunities for experiential learning, and supports faculty excellence in teaching and learning-all of which enhance student success at OSU. The EA reports jointly to the AVPs for Academic Affairs and Teaching and Learning.

The EA will develop, implement, and enforce plans, policies, procedures, systems, programs, and performance standards. The EA tracks resource needs and priorities and makes recommendations to the team. The EA will continuously provide high level of responsiveness, exceptional customer service, and will be responsible for administrative operations (budget, IT, positions, and activities). The EA maintains confidentiality of privileged information and performs a wide variety of tasks that require tact, sensitivity, independent judgment, diplomacy, discretion, and flexibility. The EA works in a proactive and positive manner and anticipates the needs of the AVPs and of the programs they supervise while fostering a culture of excellence, equity, and inclusion within their areas of responsibility.

Key Responsibilities 65% EXECUTIVE ASSISTANCE:
   » Strategic, confidential management of the calendars for the AVPs.
   » Discreet screening of incoming calls to offices in Academic Affairs and assisting their unscheduled visitors.
   » Respond to incoming requests; respond with flexibility to urgent or unexpected requests. Ensure that milestones, goals, and deadlines are met.
   » Manage confidential information related to the work of AA.
   » Assist with strategic planning and/or initiatives.
   » Manage personnel searches for direct reports to the AVPs.
   » Coordinate annual performance evaluation process for direct reports to AVPs.
   » Arrange for meetings and travel for the AVPs.
   » Interface professionally with people from all levels of the University, and with individuals outside of the University, including individuals who may be upset.
   » Plan and prioritize simultaneous projects with strict deadlines and manage multiple tasks and shifting priorities while coordinating a high volume of incoming work.
   » Advise the AVPs on appropriate processes and procedures to follow or contacts to coordinate with to accomplish the goals of the Division of Academic Affairs.
   » Critically analyze any obstacles to the success of the day-to-day work of the AVPs and problem-solve ways to overcome those obstacles independently and/or with those impacted.
   » Prepare, track, and manage agendas and follow up items for committees, workgroups, task forces and other working groups facilitated by the AVPs.
   » Author and/or edit correspondence and documents/materials.
   » Proactively assist in managing expenses, reconciliations, and responsibilities for the AVPs and the programs in their portfolios in consultation with Division of Academic Affairs and Oregon State University colleagues.
   » Initiate budget transactions for partnering in sponsorships and events/activities.
   » Assist with preparing annual reports.
   » Work closely with DAA Executive adjuncts (DAA, Office of the Registrar, and Library) coordinating events, projects, or covering vacations and time off as needed.

20% OPERATIONAL COORDINATION:
   » Maintain contact and email lists; schedule meetings and manage logistics.
   » Facilitate internal communications.
   » Assist AVPs with business processes for timely and accurate completion of those processes; coordinate for processes that require hierarchy of authority/administration.
   » Coordinate planning details for internal and external events for faculty development initiatives.

10% OFFICE MANAGEMENT:
   » Assist with office space allocation, supplies, furnishings, and equipment for the Center for Teaching and Learning and AA programs broadly.
   » Participate in the development and implementation of policies, procedures, and practices within AA.
   » Supervise classified employees within the ROTC program; Plan, organize, assign, and review support staff's work, ensure deadlines are met by regulating workloads appropriately. Coordinate work and leave schedules. Authorize overtime. Identify training needs of support staff. Work with staff to provide opportunities for professional development.
   » Encourage and participate in activities that foster an environment that is diverse, equitable, inclusive, and fosters a sense of belonging for reporting employees and co-workers.
   » Coordinate website editing and content development.
   » Audit and update Standard Operating Procedures.

   » Bachelor's degree
   » Substantial executive administrative or business management practice in a complex institution.
   » 3 years of professional practice managing complex scheduling needs for multiple executives with a high level of attention to detail and accuracy.
   » 3 years of practice executing and managing meetings and events for executives, for example their programs/departments, committees, and task forces.
   » 3 years of professional practice managing employees.
   » Strong time management expertise including capability to prioritize projects and deadlines.
   » Effective communication and interpersonal expertise, including the capability to communicate diplomatically.
   » Demonstrated capability to provide a very high level of responsiveness and exceptional customer service.
   » Web editing practice.
   » Proven skill in Microsoft Office Suite and web-located applications.
   » capability to maintain confidence in sensitive matters and manage sensitive and confidential materials and information.
   » Self-discipline, sound judgment, anticipatory and reasoning expertise.
   » Commitment to promoting and enhancing diversity and contributing to a civil, respectful, and collegial work environment.

This position is designated as a critical or security-sensitive position; therefore, the incumbent must prosperously complete a criminal history check and be determined to be position qualified as per University Standard: 05-010 et seq. Incumbents are required to self-report convictions and those in youth programs may have additional criminal history checks every 24 months.
