Min Hourly Rate $14.20 (Standard); $13.20 (Non-Urban); $15.45 (Portland Metro) Max Hourly Rate $17.00 (Standard); $16.50 (Non-Urban); $18.00 (Portland Metro) Position Summary This recruitment will be used to fill two part-time (a maximum of 24 hours per week) Student Customer Service Representatives (CSR) for the Graduate School Front Desk at Oregon State University (OSU). The CSR contributes to the everyday function of Graduate Admissions and the front desk of Heckart Lodge. CSR answers incoming calls and walk-ins that inquire about admissions and current student requirements. They also check application files and document queues for accuracy, and process official documents received via online services and the post. They will also collaborate with professional staff on assignments and perform other tasks to support the unit and department. The CSR will also support recruitment events when hosted or staffed by the Graduate School. The graduate school's primary missions are to advance graduate education, to ensure quality and unquestionable standards in graduate education, and to maintain the integrity of approximately 100 graduate programs. To this end, the Graduate School initiates and implements policies and procedures and coordinates programs, courses, admissions standards, and degree requirements. The Graduate School maintains thousands of records for candidates and current/former students. By its very nature, the Graduate School's function is central to the mission of OSU. CSRs are expected to help create and maintain a non-discriminatory campus and educational environment. Position tasks 40% Reception Interacts with prospective candidates, current students, and OSU faculty and staff. Responds to a high volume of telephone, walk-in, and e-mail questions about graduate admission standards and university policies for graduate students. Responds to applicant and student questions and research issues when necessary. Includes a high volume of international applicant concerns. Must maintain a professional, welcoming, and valuable tone. Requires basic expertise of the processes, procedures, rules, regulations, forms, functions, and programs for which this office is responsible. Must communicate with a diverse clientele in a courteous, pleasant, tactful, and professional manner, which includes the capability to communicate with department heads about necessary actions. Must accurately adhere to FERPA (confidentiality) guidelines. 5% Supporting Recruitment Events Support recruitment events as requested. The bulk of recruitment support would likely be with answering calls or walk-in questions, stuffing packets, and preparing other materials, but may include gathering supplies, working with catering, setting up promotional tables in on-campus venues, and hosting Graduate Resources tours. 20% Document Imaging and Postal Mail Opens postal mail and routes to appropriate staff members. Opens, dates, scans, identifies matching candidates and uploads official documents received by mail. Downloads official transcripts from secure websites. Identifies matching application files and uploads them into the database. Ensures the appropriate routing of documents within the system workflow has occurred. 30% everyday Operations Performs admission tasks related to graduate applications, including reviewing reports and documents and assigning files to professional staff for updates or corrections. This will also include research projects on best practices. 5% Various tasks Other general office support tasks as assigned. This position is designated as a critical or security-sensitive position; therefore, the incumbent must prosperously complete a criminal history check and be determined to be position qualified as per OSU Standard 576-055-0000 et seq. Incumbents are required to self-report convictions and those in youth programs may have additional criminal history checks every 24 months.
