Primary Purpose of Department To provide world-class facilities service in the areas of financial/budget management, business analytics, process improvement, business operations (custodial, fleet management, inventory management), and quality assurance.

Primary Purpose of Position To manage the contract management process for Facilities Management. FM Contracts total over $2M and are managed internally and externally to the department to include campus wide contracts, outsourced services, time and materials, etc.

Summary of Position Responsibilities Reporting to the Executive Director, responsibilities include but are not limited to:
   » Monitor all FM contract types (university-wide, outsourced services, term and time/material) using analytical tools such as Excel, dashboards, etc.
   » Develop operational guidelines, best practices and standard operating procedures regarding all facets of the FM contract management process;
   » Manage the FM Service Level Agreement contract process to include drafting SLA, participating in customer negotiations, financial reporting monthly to customers/stakeholders, renewal processes;
   » Administer the contract billing process; Monitor payment, enter receiving, amendments, etc.;
   » Develop specialized reporting tools such as spreadsheets, revenue and expense tracking, budgetary projections, graphic representations, payment status, customer notifications, etc.
   » Enter requisitions in the university's procurement system located upon executed contracts;
   » Serve as liaison and work collaboratively with university materials management, as needed;
   » Perform monthly reconciliations with Banner Finance;
   » Work with FM Business Analytics team on a wide variety of analysis topics such as labor, utilization, performance, and other Objective and Key Results, Key Performance Indicators, etc.
   » Communicate and present information to stakeholders about all contract/agreement/MOU-related matters. Respond to internal/external customer questions and concerns related to process, terms, billing, cost, etc.;

Minimum Education/practice Bachelor's degree and one year of practice related to the area of assignment; or equivalent combination of training and practice. All degrees must be received from appropriately accredited institutions.

   » Bachelor's degree in business, public administration, finance, or other related field; or equivalent combination of training and practice. All degrees must be received from appropriately accredited institutions.
   » Minimum of two years' practice in a financial/program specialist position with program-specific responsibilities.
   » practice working in a rapidly changing, fast growing organization across several enterprise areas;
   » capability to interpret and explain guidelines, terms, policies, processes, procedures, etc.
   » Exceptional interpersonal, team and relationship-building expertise;
   » Proficiency in Google, Microsoft Office Suite, and availability to lgain new programs.
   » capability to exercise sound judgment and discretion in interpreting and applying standards, policies and procedures;
   » capability to deal tactfully, consistently and with some judgment across multi-functional units/departments and levels;
   » capability to express ideas and opinions clearly in written and oral form;
   » Communicate professionally with a wide variety of internal and external customers.
