Job Summary This recruitment will be used to fill one full-time Office Specialist 2 position for the Department of Horticulture at Oregon State University (OSU).

This position provides office/building support, administrative support/business function, website maintenance, and technical troubleshooting tasks in support of Department of Horticulture operations.

Key Responsibilities 40% Office Support
   » Provide excellent and empathetic customer service while engaging in the clerical and administrative support tasks for internal and external customers. Receptionist tasks: front office greeting of walk-in customers, responding to customer inquiries on the phone, by email and in person. Check department email.
   » Back up scheduling Department Head, classes, meetings and workshops using the Outlook calendar.
   » Reserve Horticulture conference rooms, and classrooms. Provide conference room Information technology support.
   » Troubleshoot and coordinate maintenance of printers and copy machines.
   » Mail processing: sending out and receiving both domestic, foreign and express mail and shipments.
   » Maintain mailboxes for faculty, emeritus and grad students.
   » Telephone coordinator: maintain departmental phone list; assist with requests for physical changes in phones, removal of existing or requesting new.
   » Order office supplies, keep the supply closet organized and stocked.
   » Order Coffee room supplies, keep coffee room tidy and stocked. Manage coffee cash.
   » Key coordinator: issuing key requests, maintaining the departmental key check-out system.
   » Checking in/out of miscellaneous equipment: laptops, projectors, speaker phone, canopy, video camera & tripod, portable sound system, portable screen, laser pointers, etc.
   » Coordinate recycling and surplus requests.
   » Coordinate requests to the building manager and Facilities Services for lights out, leaks, and miscellaneous building repairs.
   » Purchasing with VISA credit card and through Benny Buy for laboratories and field research; procure promotional items for meetings, workshops, and conferences.
   » Assist faculty, students, staff and visitors with travel arrangements and expense reports as needed.
   » Assist with resolving purchasing issues including returns and refunds.
   » Submit expense reports in Concur for Visa credit card, and personal reimbursements for visitors.
   » Invoice processing including: ensure correct accounting information is on the invoice; scan documents to accounts payable; maintain a file of department invoices; archive/destroy documents according to record retention guidelines.
   » Track physical asset inventory, record equipment purchases, maintain lab asset data.
   » Serve on Space/Safety/Building Committees, take minutes of meetings and assist with facilitating moves, distribution of safety protocol and building issues.
   » Maintain cold room contact list.

30% Secretarial/Administrative
   » General administrative support to department personnel, including but not limited to photocopying, faxing, binding reports, laminating, folding for mailouts.
   » Document preparation using MS Office, including Word mail merge, and creating labels. Provide faculty with assistance as needed with editing/prepping documents, reports, spreadsheets.
   » Manage Extension publication reviews and peer reviews for journals.
   » Assist Master Gardener Statewide Program with ordering name badges; create and mail out certificates of completion and/or appreciation for Home Horticulture, Master Gardener, and Urban Horticulture.
   » Assist the Permaculture instructor with emailing certificates of completion to students.
   » Prepare thank you letters for Department Head's signature and mail to donors.
   » Facilitate OSU Foundation donor reports and other donor communications.

25% Media, Displays and Website Maintenance
   » Assist with departmental public communications.
   » Maintain and improve department website, and facilitate content development. Ensure reader board is working, update slides and past events removed.
   » Post, update, and monitor news, seminars and events for departmental social media such as Facebook, Instagram, reader board, and website: Collect and organize photos of faculty and students from departmental events.
   » Create promotional flyers for guest speakers, seminar series, and Horticulture events following Oregon State University marketing guidelines.
   » Maintain departmental display materials as needed.

5% Other tasks as assigned.
   » Backup for course scheduling, and student services support as needed.
   » Backup for student hiring and human resources tasks, as needed.
What We Require
Two years of general clerical practice. One year of which included typing, word processing, or other practice generating documents; OR An Associate's degree in Office Occupations or Office Technology; OR Graduation from a private school of business with a Certificate in Office Occupations or Office Technology and one year of general clerical practice. College courses in Office Occupations or Office Technology will substitute for the required practice on a year-for-year basis.

This position is designated as a critical or security-sensitive position; therefore, the incumbent must prosperously complete a criminal history check and be determined to be position qualified as per University Standard: 05-010 et seq.
