Position InformationGeneral InformationVacancy Open to All Candidates Employment Type Permanent - Full-time If time-limited, note appointment end date Hours per week 40 Months per year 12 Position Number 002264 NC income Grade Equivalency GN04 Classification Title Admin Support Associate - Journey Working Title Admin Support Associate income Range $36,121 - $50,438 Anticipate Hiring Range $36,121 - $41,000 FLSA Status Non Exempt Division Academic Affairs Department Col of Arts & Architecture (Col) Work Unit Theatre Work Schedule 8:00 am - 4:30 pm; Monday - Friday Primary Purpose of Position The Administrative Support Associate provides administrative support to Chair of the Department, 16 full time faculty members, and 5 part time faculty members. Serves as adjunct to Department Chair assisting with calendar, personnel reappointment and tenure paperwork, handles all aspects of faculty searches, from advertisement, letters, travel. Assists in new curriculum preparation, prepares student evaluation packets, student services, room scheduling and special projects, processes all travel authorizations and reimbursements for full time faculty, hiring and orienting to department, prepares offices for new personnel, tracking time sheets for student workers, and hiring and training student workers. Orders office furniture, business cards, keys, set up of telephones and computers. Minimum Education/practice Required Minimum Appropriate qualifications: Graduation from high school; or an equivalent combination of education and practice. University Preferred Appropriate qualifications: Graduation from high school, or completion of its equivalency, and two years of office/clerical work practice; or an equivalent combination of training/practice. Essential Job tasks This position is characterized by the performance of a variety of administrative, secretarial, and office support tasks that are general to an academic unit and specific to a Theatre Department and theatre production. While the position doesn't require a background in theatre, Information technology requires a learned knowledge of the office and work unit policies and procedures and the capability to communicate information involving programs, functions, and services specific to theatre education and theatrical production, academic scheduling, and theatre research, including the following: Travel reimbursement policy and procedures Recording the schedule of classes Organizing catering for multiple annual events Recording and distributing agendas and minutes from departmental meetings in a timely manner Facilitating the employment process from job posting to completion Ordering scripts and applying for copyright permissions for theatrical productions Preparation of documents and reports Use of office technology, compiling records, organizing and maintaining files Facilitating communication between administration, faculty, and students Posting email and social media information to all stakeholders as needed Greeting//referring/ assisting visitors/clients/staff/others Mail distribution and photocopying The work often involves a public contact function to clarify or provide information regarding activities of the work unit.
