Job Summary/Basic Function: About this function:

The Administrative Coordinator plays a pivotal function in the Educational leadership abilities department, providing essential administrative support to the Department Chair, Program Directors, and faculty. This position is responsible for maintaining schedules, managing communications, and superviseing the preparation and distribution of various departmental documents. Additionally, the Administrative Coordinator ensures the smooth operation of the department by handling budget monitoring, procurement, event coordination, and technical support. The function also involves maintaining accreditation materials, supervising student workers, and performing various tasks to meet the dynamic needs of the department. Through effective organization and exceptional communication skills, the Administrative Coordinator enhances the overall efficiency and productivity of the department.
What You'll Do - Position Job responsibilities:
   »Administrative Support
1. Provides administrative support to the Department Chair, Program Directors,
and faculty.
2. Monitors and develops schedules, assists in instructional assignments, and
communicates with faculty and students as needed.
3. Prepares and distributes various correspondence; responds to emails; types
required forms and reports; answers and screens calls; coordinates and
schedules meetings and events; manages calendar; orders office supplies.
   »Documentation and Reporting 1. Maintains all required accreditation materials and annual reporting.
2. Formats and drafts documents, maintains the document repository for all
programs.
3. Creates reports for labels and lists, updates employee contact information, and
maintains student records filing system.
   »Technical and Software Support 1. Provides technical/software support and training.
2. Works in LU computer systems such as Banner, Cardinal Purch, Argos,
Chrome River, Smartsheet, etc.
   »Budget and Resource Management 1. Monitors budget and maintains supplies and equipment.
2. Assists with procurement and reimbursement processes.
Event Coordination 1. Arranges dinners and special events. 2. Coordinates logistics for departmental events and meetings.
   »Supervision 1. Trains and supervises student workers.
Other tasks
2. Performs other tasks as assigned in response to the needs of the department.

   » Excellent organization, communication, and interpersonal skills.
   » Advanced computer skills in all packages of MS Office.
   » expertise of university systems and processes.
   » Skills necessary to work in LU computer systems such as Banner, Cardinal Purch, Argos, Chrome River, Smartsheet, etc.
Physical Requirements:

Able to lift 25 pounds and be able to execute a variety of physical tasks including lifting, bending, stooping, squatting, stair climbing, and walking between buildings.

Job Conditions:

This full-time position is primarily located on campus, requiring regular interaction with faculty, students, and administrative staff. The function may occasionally require extended hours during peak periods or special events. The environment is fast paced, necessitating a high degree of multitasking, attention to detail, and the capability to manage multiple priorities simultaneously. Regular use of office equipment and software is essential.
