Organizational Unit Overview The Department of Coastal Studies (DCS) (https://coastal.ecu.edu/coastalstudies/) was established in 2018. Primarily a research department, the DCS coordinates and enhances research communities across ECU's Greenville campuses, the Outer Banks campus, our partner Institutions, and with associates around the world. DCS provides ECU with a strong center and point of contact to expand its leadership abilities function in covering interdisciplinary coastal and marine issues. The Department of Coastal Studies includes faculty on the ECU-Greenville campus and the ECU-Outer Banks campus. These locations enable faculty to take advantage of the resources available on the main campus, as well as having cutting-edge laboratories, classrooms, and boating facilities directly on the Croatan Sound.

Job tasks 25%: Communication (Oral and Written): Provide reports and input to help with budget
development; report to Chair of the Department of Coastal Studies (DCS),
Director of Diving and Water Safety (DWS), and Director of Integrated Coastal
Sciences (ICS) budget balances and other financial information as requested;
convey important university policy information to staff. Regular communication and
collaboration with Business agent in DCS and Director of DWS. Point person to the
public to obtain, clarify or provide general information regarding DWS, DCS, ICS and
answer questions as appropriate - by telephone receptionist, contacting vendors,
scheduling, and coordinating meeting and events. Support includes communication
with faculty and maintaining electronic documents and records in an organized and
secure manner. Position may serve as primary staff adjunct to a department or program
manager.

25%: Information/Records Administration: Records, compiles, and summarizes data using
established formats-compiles and organizes information from different sources to
develop reports and data, including information on State and grant budgets.
Understands general operations of the organization, to include staff and program
responsibilities. Selects, understands, and fully applies features of a variety of
software programs, machines or office equipment that will assist with position. Keeps
records of space occupancy, manages key requests and maintains/updates records
of key holders.

25%: Financial Management - Completes financial transactions, processes, and practices
for assigned areas, including processing journal vouchers, budget transfer, and
purchasing. Requires a general expertise of the organization's accounting and
budget procedures. Assist in processing transactions connected with State operating
budget and grant monies; assist in the procurement of supplies and equipment;
assist with Institute fixed assets. Processing travel paperwork, making travel
arrangements as requested, and assisting faculty and staff with ECU travel process
software. Prepare reimbursements and monitor office expenditures. Able to enter
orders in PORT; Pro Card purchases for DWS, DCS and ICS operations and faculty
needs (Chrome River). Access to Banner Self Service for inquiries on budgets and
Graduate adjunct employee information and annual GA contracts. expertise of and compliance with ECU purchasing guidelines; resolving purchasing problems as requested. Ensures orders are placed and required steps necessary are followed as requested. Organize and prepare monthly vessel rentals, vehicle mileage and gasoline usage charges for reimbursement.

25%: Planning and Organizing- Support includes communication with faculty and
maintaining electronic documents and records in an organized and secure manner.
Responsible for drafting departmental meeting minutes. Maintaining current graduate
student funding information, a log of vessel reservations and expenses. Managing
mail, surplus using PETS system, driver verification for faculty, staff, and students.
Working with DWS Touchnet Marketplace U-Store (online storefront) and deposits in
Banner 9. Assist with inquires as necessary.

Minimum Education/practice High school diploma or equivalency; or demonstrated possession of the competencies necessary to execute the work.

Preferred practice, expertise, Training/Education expertise, expertise, and abilities gained through previous office assistance and program planning. practice which demonstrates the capability to work independently, handle and organize multiple tasks and prioritize work assignments with minimal supervision. Excellent customer service expertise practice. practice with university or state business processes and procedures are preferred.
