Primary Purpose of Department The School of Professional (SPS) reports to the division of Academic Affairs, reporting to the Provost and Vice Chancellor for Academic Affairs. SPS works collaboratively with departments, colleges, and academic support units to ensure integrated partnerships for enrollment growth, student success and faculty effectiveness in teaching.

Primary Purpose of Position This is one of two Event Manager positions at The Dubois Center, working cohesively to supervise events and collaborate with a variety of internal and external clients. this function serves as a liaison between clients, vendors, and staff, articulating vision and building relationships with potential clients and stakeholders to ensure events run smoothly and prosperously, meeting clients' objectives and expectations. Responsibilities include managing every aspect of an event, coordinating and connecting clients with vendors for catering, parking, AV needs, and other services, ensuring timely completion of each element.

This position requires conveying accurate, legally binding information and UNC Charlotte policies and procedures while providing outstanding customer service. knowledge and embodying the mission of The Dubois Center is essential for attracting like-minded clients. The Event Manager handles both large and small high-profile university events, knowledge ?assigned? space under University Policy 601.6 for Scheduling of University Space. During events, the Events Manager ensures smooth operation, troubleshooting issues, and covering unexpected challenges with flexibility and quick solutions. Effective communication is crucial to keep clients, vendors, and staff informed about event details and changes. Exceptional organizational expertise and managed communication are essential.

The Event Manager may assist with writing policies related to event management and is expected to resolve internal relations with event clients as needed. This position also provides clear direction to auxiliary staff for event setup and teardown as required.

This position is part of The Dubois Center operational staff, reporting to the Associate Director. Information technology is a team-focused function requiring adaptcapability and flexibility to cover events on weekends and after business hours and to fill in for operational staffing needs as necessary. Additionally, this position may be assigned special projects such as academic room scheduling and coordinating VIP parking requests. Proficiency in event scheduling software is required to schedule events and pull enrollment data/projections as needed for growth and activation of The Dubois Center.

Responsibilities include coordinating with vendors for services like catering and AV needs, ensuring compliance with UNC Charlotte policies, and embodying The Dubois Center's mission.

The Event Manager handles both high-profile and smaller university events, troubleshooting issues and adapting to unexpected challenges. Effective communication and organizational expertise are essential. Additional tasks may include writing event management policies, directing auxiliary staff, and resolving client relations. The position requires flexibility to cover events outside regular hours, assist with special projects like academic room scheduling, and coordinate VIP parking requests. Proficiency in event scheduling software is necessary.

Additional tasks include the knowledge to interpret UP 601 (scheduling of space) since policies and procedures at The Dubois Center are unrelated to those on campus within CRES.

Minimum Education/practice
   » A degree in Event Management, Hospitality Management, Business Administration, Marketing, or a related field with 1 year of event management practice or 5 years of proven event management practice managing high profile events.
   » 1 year of practice in managing budgets, negotiating contracts with vendors, and coordinating logistics.
   » Flexibility and adaptcapability is a must due to events that often require working outside regular office hours and weekends.
   » Demonstrated capability to lead an event, delegate tasks effectively, and foster a collaborative work environment.
   » Strong expertise in building and maintaining client relationships, with a focus on customer satisfaction and retention.
   » Proven track record in identifying challenges, proposing solutions, and implementing effective resolutions during events.
   » capability to adapt to changing priorities, work under pressure, and handle unexpected situations with professionalism.
   » Excellent verbal and written communication expertise to effectively interact with diverse stakeholders, negotiate contracts, and present ideas clearly.

   » Professional certifications such as Certified Meeting Professional (CMP), Certified Special Events Professional (CSEP), or similar credentials.
   » In-depth knowledge of event industry trends, best practices, and emerging technologies.

   » Proficiency in event management software, CRM systems, and or digital marketing tools.
