The College of Business is seeking an Operations Manager. This is a full-time (1.00 FTE), 12-month, professional faculty position.


The College of Business Operations Manager provides leadership abilities and management supporting the operations and long-term plans of the College. The position is responsible for achieving operational excellence in all areas of responsibility including facilities & operations management and planning issues, ensuring support for academic services that enhance the academic environment for students, supporting the college's assessment processes, coordinating technical support to assist faculty with their teaching, research and service responsibilities and superviseing the Faculty Services office on behalf of the Director of Operations and the Dean. The position works closely with the Director of Operations to ensure the comfort, safety and security of the faculty, students and staff located in multiple facilities. The Operations Manager contributes to the mission of the College of Business through teamwork and collaboration to ensure timely, cost effective and professional services that enhance the teaching, research and service goals of the College.

Key Responsibilities 35% Facilities Management
   » Project manager for operations and facilities planning of all COB spaces, including Austin Hall as well as parts of Milam Hall, Weatherford Hall, Poling Hall, and COB space in OSU Portland Center, including facilities maintenance, office selection and assignment planning, training on building systems, developing new policies and procedures that promote equitable access to facilities and resources, move planning, and furniture selections and supply planning.
   » Set and communicate Austin Hall building hours; work closely with COB-IS to ensure building is staffed after hours and building hours are communicated in advance; work with OSU Facilities and ABM Serivces (custodial) to coordinate lock schedules.
   » Assist with training COB-IS student employees in building operations issues such as lock schedules, emergency protocols, and maintenance issues.
   » Project manager for standing up new spaces within COB, to include working with all significant stakeholders and contractors to deliver needed spaces on time and to specifications while considering accessibility and inclusivity.
   » Work closely with OSU Facilities Services and ABM Services to ensure the day to day needs of the college's facilities and operations are met.
   » Work closely with Director of Operations to forecast and plan for the long-term infrastructure and facilities needs of the college.
   » Manage the college's Faculty Services and facilities budgets, including the Austin Hall Building Fund, ensuring fair distribution of resources.
   » Each term, review office availcapability and faculty needs to determine optimum and equitable solutions for office and space assignments located on instructor load, teaching schedules and individual preferences. Implement procedures to ensure smooth transitions of office and space assignments.
   » Work with college centers and other functions to appropriately and equitably allocate college space; reassess periodically to continue to ensure good stewardship and use of college space.
   » Manage space allocation for the building and report space utilization in conformity with OSU process; work closely with OSU Space Management to find solutions for office shortfalls. Coordinate and communicate continuing college space needs with OSU Space Management and Director of Operations in order to plan for, prepare and manage appropriate work spaces for college faculty and staff located in multiple locations.
   » Ensure facilities and operations data, including offices, keys, access, telecom and contact info are properly maintained and updated in COB's Salesforce instance.
   » Manage the college's use of the Weatherford Hall Executive Suites, including reservation management, custodial scheduling, key management, and liaising with UHDS to ensure continued cooperation.
   » Serve as COB contact for internal questions about OSU Portland Center operations, including office and room reservations, technology, operational fees, scheduling processes and facility features. contact with OSU Portland Center staff to ensure success of COB programs through communication, scheduling and facility support.
   » Project manager for special projects for the Director of Operations and Dean including being assigned to represent the COB and given authority to make decisions for the COB on special projects.
   » Assist Director of Operations in coordinating the college's emergency plan and preparedness and ensure compliance with OSU's emergency planning guidelines.
   » Direct staff in managing facilities maintenance needs and coordinate with OSU Facilities Services in conjunction with facilities maintenance budget.
   » Make decisions regarding disposal of college's surplus furnishings and equipment, and coordinate removal with Surplus Property.
   » Manage the College's reserved parking spaces, including funding and everyday allocation in conformity with Transportation and Safety regulations
   » supervise facilities sustaincapability efforts and recycling as needed.

25% Supervision
   » Directly responsible for superviseing and developing staff on the Faculty Services team and fostering an inclusive team environment that values diverse perspectives.
   » Provide leadership abilities and management to a team of 2-3 staff and 4-6 students across two buildings
   » supervise training and development of student employment program with an eye toward professional development post-graduation
   » Ensure equitable opportunities for growth and development of team members, encouraging continuous learning and consciousness and creating opportunities for cross-cultural collaboration.

20% Management of Faculty Services
   » supervise the operation of the Faculty Services office to enhance the instructional and research missions of the college, ensuring that diverse perspectives and needs are considered.
   » Manage support for faculty's visitors to the college, to include tracking, parking, room reservations, pre-arrival assistance, catering, gifts, and any other special needs.
   » Direct staff to prioritize and ensure inclusive and quality support for faculty, especially during high tempo periods all over the academic year.
   » Ensure Faculty Services staff provide timely and quality support for copying, scanning, printing, textbook ordering, and other faculty/academic services support functions as necessary.
   » supervise inventory and purchase of supplies for the college. Determine options and best prices and ensure charges expensed to correct department.
   » Provide assistance and information to outside clients, students, faculty and staff members regarding the college and university organization, policies and procedures, emphasizing inclusivity and knowledge diverse backgrounds and needs.
   » Utilize an broad, detailed knowledge of the College to interact with a variety of internal and external customers (e.g., staff, student adjuncts, students, student clubs and associations, outside speakers, faculty, classified and administrative personnel in the college and all over the university, vendors, contractors) by phone, in person, electronically, via mail, etc,. with a high level of diplomacy, professionalism, and cultural competence.
   » Manage and coordinate college's day-to-day operations including setting priorities, responding to customer requests, coordinating communications among staff, and troubleshooting and anticipating requirements and identifying solutions.

15% Accreditation and Institutional Reporting Support
   » Assist the Director, Associate Deans and Dean in preparing responses to University requests for information and college perspectives.
   » Produce documentation and reports. Maintain data on student, faculty and alumni records for AACSB and institutional reporting using Digital Measures and Salesforce.
   » supervise dissemination, collection, and entry of internship and exit surveys into Salesforce.
   » Direct staff in alumni placement research and updating Salesforce accordingly.
   » Direct staff to conduct research to support continuing projects and accreditation requirements.

5% Other tasks as directed
