Position Summary This recruitment will be used to fill one part-time (a maximum of 24 hours per week) CSR position for University Housing and Dining Services (UHDS) at Oregon State University (OSU).

As an employee of UHDS, CSRs are expected to accomplish the primary objectives of UHDS to engage our students, enrich their lives, and help them thrive. The UHDS Oxford Administrative Office provides a wide variety of support and services to guests, residential students, staff, and parents via telephone, email, and face-to-face interactions. As such, the tasks for a CSR vary depending on the shift. As a primary location for student housing and dining questions, the Oxford Administrative Office strives to be a ?one-stop? location for guests.

The CSR contributes greatly to the success of UHDS as part of the Operations Unit, which supervises assignments, international student arrivals, transitions, and other processes for on campus housing in residence halls and family housing. CSRs assist in meeting operational needs and customer service requests for residential guests and students. CSR staff work as a team to answer incoming calls and inquiries, handle department correspondence, collaborate with Operations staff on assignments and charges, and perform other tasks to support the unit and department.
University Housing and Dining Services recognizes the importance of learning in and out of the classroom, and supports the concept of education as an individual as well as a community practice. Our primary focus is service to OSU students. We strive to provide our students, faculty, staff, and guests with safe, economical, on-campus living and dining options that are convenient and comfortable. We offer a variety of living and dining options in fifteen residence halls, three dining centers, and a limited number of family apartments. Our department is an auxiliary enterprise that is funded solely by customers who use our services - we receive no state or tax dollars. We work to maintain the highest educational and service standards for our customers.

Position tasks I. Customer Service
   » Maintains positive customer service relationships. As an employee of UHDS, CSRs are expected to accomplish the primary objectives of UHDS to engage our students, enrich their lives, and help them thrive.
   » Resolve or refer concerns and complaints in reference to residential education, housing operations, maintenance and facilities, and dining services.
   » Acts as a resource guide and referral agent for campus services and programs.
   » Act as a first line of response for questions via phone, email, or walk-in guests to the department. Display accuracy and critical thinking expertise when covering inquiries and referring customers.
   » Responds to email messages through the UHDS main email account in a timely manner.
   » Provides information and materials in reference to city and campus resources and sights (maps, bus schedules, etc.).
   » Provides courier support for on-campus mail.

II. Operational
   » Assist walk-ins, phone calls, and emails regarding general housing and dining questions.
   » Explains the UHDS housing contract, dining plan information, and policies and procedures to students.
   » Manage and audit assets and property access, including keys, electronic access points, parking passes, and other assets.
   » Sort the Oxford Office campus mail that is delivered twice daily.
   » Assist residents with room changes, cancellations, waitlist processes, and be able to troubleshoot questions.
   » Assists the assignments team with a variety of application and assignment related tasks.
   » Perform benchmarking tasks as directed by the assignments and residential services team.
   » Understand and be able to explain the application and assignment change request waitlists.
   » Utilize the housing information system to provide assistance with applications, assignments, and billing.
III. Security
   » Locks or unlocks office doors at the opening and closing shifts.
   » Reports solicitors and other unauthorized persons within the facility.
   » Assists/reports persons regarding harassment issues.
   » Reports emergencies and accidents to appropriate departments.
   » Assists all Law Enforcement Agencies when necessary and within OSU policy and procedure.
   » Maintains the confidentiality of records as stipulated in FERPA (Family Educational Rights and Privacy Act)
IV. Staff Support for manager and other UHDS Administrative Staff
   » Provides staff support to the assignments and residential services team by assisting in the development of policies and procedures related to the office operations.
   » Explain policies and procedures of UHDS
   » Works on special projects as directed by assignments and residential services team.
   » Assists other UHDS Oxford office staff with projects as approved through the adjunct Director of Occupancy Management.
V. Staff Relations and Staff Development
   » Participates in staff meetings and trainings as scheduled by the adjunct Director of Occupancy Management.
   » Communicates with appropriate professional staff when issues and needs are raised about a community.
   » Attends scheduled training program sessions.
   » Develops positive working relationships with the Operations staff, Customer Service Representatives in all UHDS service locations, Residence Hall Directors, Facilities staff, and other co-workers. Treats all staff members, other department staff, and customers with courtesy, respect and consideration. Functions as a team player in the office environment.
VI. Administrative tasks
   » Is thoroughly familiar with the office policies, as described in the Office Manual, as well as the University Housing and Dining annual student contract, the Student Policy Guide, as well as the University's ?Student Conduct Regulations? guide.
   » Is expertiseable about University and Department organizational structure to the extent that residents' questions can be readily answered or referred to appropriate personnel.
   » Conducts themselves in a friendly, valuable, businesslike manner and treats those seeking assistance with courtesy, respect and consideration at all times.
   » Maintains confidentiality of all records in conformity with FERPA and other laws.

   » Must be academically enrolled in a high school, community college, or university and pursuing a program or course of study
   » Must meet Academic Standing Requirements; students on academic suspension are not eligible for employment
   » Must meet the applicable minimal enrollment standard
   » High School student: Regularly enrolled in a high school or participating in a home-schooling program
   » Undergraduate and post-baccalaureate student: 6 credit hours per term
   » Undergraduate international student: 12 credit hours per term*
   » Graduate student officially admitted to Graduate School: 5 credit hours per term
   » Graduate international student officially admitted to Graduate School: 9 credit hours per term*

*International students may be allowed to carry fewer hours than specified above and still be considered ?full-time? by the United States Citizenship and Immigration Services (USCIS). A reduced course load is approved by the Office of International Services (OIS), and must be provided to the Student Employment Center.

   » These weeks include, but are not limited to, opening and closing weeks before and after each term for resident check-in and check-out. Staff are expected to work over academic breaks (winter break, spring break, summer).
   » CSRs are responsible for attending all training and staff meetings as scheduled each term.
