Position InformationGeneral InformationVacancy Open to All Candidates Employment Type Permanent - Full-time If time-limited, note appointment end date Hours per week 40 Months per year 12 Position Number 002205 NC income Grade Equivalency GN04 Classification Title Administrative Support Associate - Journey Working Title Administrative Support Associate income Range $33,540 - $38,890 Anticipate Hiring Range $33,540 - $38,480 FLSA Status Non Exempt Division Academic Affairs Department College of Humanities & Earth and Social Sciences (Col) Work Unit Africana Studies Work Schedule 8:30 am - 5:30 pm; Monday - Friday Primary Purpose of Position Manages the workflow in Africana Studies department: supports the administrative tasks of the department chair and his deputies: provides administrative assistance to faculty and students: prepares semester schedules, maintains office equipment and supplies, maintains budget, and supports department programmatic events and external relations. Minimum Education/practice Required Minimum Appropriate qualifications: Graduation from high school; or an equivalent combination of education and practice. University Preferred Appropriate qualifications: Graduation from high school, or completion of its equivalency, and two years of office/clerical work practice; or an equivalent combination of training/practice. Essential Job tasks » Provide administrative support for the department chair. » Assist faculty in operational matters dealing with student advising, teaching, and research. » Applies substantive knowledge of university policies and procedures to direct students to appropriate faculty and offices for advising and problem-solving. » Supervise work study students. » contact with other administrative staff in the college and university on a wide variety of tasks from building class the departmental schedule to equipment/facility management, travels, budget, and event planning. » Use technology to collect, input, verify, and present standard information dealing with student affairs, budget, and faculty support. » Monitor and reconcile departmental budget and accounts, and track travel and office expenditures. » Prepare documents, contracts and reports as required. » Use BANNER to manage expenditures, reconcile accounts, and prepare travel authorizations. » Correspond with students on class scheduling arid curriculum matters; with faculty on deadlines and assigned tasks; with campus wide offices and departments on matters relating to office management, class scheduling, budget, and office maintenance. » Make decisions and solve problems that impact the everyday processes of the office. Other Work Responsibilities » Use accurate program knowledge to interface with the other units, offices and organizations in the university. » Make available the paperwork needed for student advising, processing of graduation application, vendor affairs, » Serve as the receptionist for the department, and when necessary delegate this task to a competent work-study student. » Serve as the first point of contact for the department. » Record, compile and summarize data using established format, including student graduation list; enrollment in the major and minor; and department community list. Departmental Preferred practice, expertise, Training/Education » Bachelor's degree in Business Administration or a similar discipline is preferred. » practice working in Higher Education is desired. » Intermediate knowledge of Microsoft Office (Excel) and G-Suite software is strongly preferred. » practice with Banner, Report Central, 49er Mart, NORM, P-Card, or similar University systems is desired. » Strong written and verbal communication expertise are preferred. » practice with problem solving and resourcefulness are a plus. » Strong attention to detail is essential.
