Job Summary This recruitment will be used to fill one full-time Accountant 1 position for the Accounts Payable and Travel department at Oregon State University (OSU).

The incumbent is a member of the Accounts Payable Department, within the Controller's Unit. Accounts Payable provides critical accounting services to the Oregon State University campus, including invoice entry, invoice approval, check run processing, tax reporting, vendor master file management, travel management, credit card administration, and payment remediation.

A prosperous candidate should possess excellent problem-solving expertise to execute research and troubleshoot errors. The Accountant 1 has an active function in conducting analysis, interpreting, supporting, and reviewing accounts payable activities to meet the needs of our campus while ensuring compliance with generally accepted accounting principles, applicable laws and university policy. This position will follow university internal controls to ensure the integrity of financial information, promote accountcapability, and prevent fraud. Information technology is expected that this position will follow all processes, use applicable documents/guides and escalate issues if they arise with regard to internal controls.

Key Responsibilities 50% Manage Foundation Direct Pay Transactions
   » Enter and process invoices from external vendors through Oregon State University Foundation (OSUF) and Ag Research Foundation (ARF) direct payment systems.
   » Submit OSU travel & expense system transactions through OSUF and ARF direct payment system to reimburse OSU for alumni, donor, and fundraising activities.
   » Ensure transactions process comply with university and foundation policies.
   » Deposit OSUF reimbursement checks against appropriate foundation clearing fund for travel & expense transactions.

30% Invoice Data Uploads
   » Subject matter expert with loading bulk invoice data files into ERP for payment processing. Including but not limited to Recognized Student Organization transactions from IdeaLogic, utility vendor payments for Pacific Power and Northwest Natural, and other bulk invoices projects requested by the Director of Vendor Payment Strategies on a case-by-case basis.
   » Maintain communication allowance program, including monthly data upload to process payments for OSU Employees, reviewing and approving communication allowance forms, providing ad-hoc reports upon request, and resolving job record data issues with human resources and employees.

15% One Time Vendor Refunds
   » Process requests for one-time vendor payments, where University needs to refund money received from third party vendors, or students, which requires special scrutiny and care ensuring there is no misuse by campus stakeholders where a different payment process might be more appropriate.

5% Other tasks as Assigned

What We Require
Bachelor's degree with CPA or PA certificate;
OR
Bachelor's degree with 30 quarter (20 semester) hours of college-level Accounting;
OR
30 quarter (20 semester) hours of Accounting courses and three years of Accounting practice*
*Accounting practice must include at least 3 of the following:
Preparing transactions to be recorded in records of original entry;
Preparing journal entries, posting from journals to general ledger, or preparing original general ledger entries;
Summarizing data from a ledger to a trial balance;
Closing accounts at the end of an accounting period;
Applying PC spreadsheet, database, and word processing software; Processing data using a computer.
Transcripts must be submitted for all required and/or related courses. All courses must be from accredited colleges, universities, or private vocational schools.
