Job Summary This recruitment will be used to fill one full-time Accounting Technician position for the Accounts Payable and Travel department at Oregon State University (OSU).

The Accounting Technician is a member of the Accounts Payable Department, within the Controller's Unit. Accounts Payable provides critical accounting services to the Oregon State University campus, including invoice entry, invoice approval, check run processing, tax reporting, vendor master file management, travel management, credit card administration, and payment remediation.

The incumbent supports the vendor master file operations within Accounts Payable. The Accounting Technician should possess excellent problem-solving expertise to execute research and troubleshoot errors. This position will follow university internal controls to ensure the integrity of financial information, promote accountcapability, and prevent fraud. Information technology is expected that this position will follow all processes, use applicable documents/guides and escalate issues if they arise with regard to internal controls.

Key Responsibilities 40% VENDOR REGISTRATION SUPPORT :
Responsible for supporting vendor registration process. Regularly respond to inquiries from campus customers as well as external vendors. Provides professional service through phone and email for vendors that practice registration issues with OSU's electronic supplier portal. Uses established procedures to validate identity and legitimacy of requests. Review and approval of new vendor onboarding requests within vendor portal.

30% VENDOR RECORD MANAGEMENT
When vendors are unable to complete the standard online registration process. Performs regular maintenance on all proxy records such as address updates, contact changes, and other key business information updates to ensure completeness of data.

Reviews and approves completed vendor registrations submitted in the vendor portal. Review and approval process entails screening vendor data against, IRS Database, OFAC list, USPS, and Visual Compliance Database. Additional reviews are done to ensure data aligns with best practices such as legal name abbreviations, physical street address, and address formatting.

20% PAYMENT REMEDIATION:
Responds to requests from Payment Operations team within Accounts Payable to update vendor records when there are failed payments. Failed Payments are typically related to ACH issues or undeliverable checks.

10% STALE CHECK DUE DILLIGENCE
Works with Payment Operations team within Accounts Payable to update addresses for vendors who have unclaimed property that has become stale.

What We Require
12 quarter hours (8 semester hours) of Accounting courses AND one of the following: An Associates Degree in Accounting; OR One year of practice that includes entering, compiling and/or reporting financial information; OR An equivalent combination of education and practice. Transcripts must be submitted for all required and/or related courses. All courses must be from accredited colleges, universities, or private vocational schools.
