Minimum Qualifications

   » Associate Degree in Business Administration, Accounting or other related field or equivalent combination of education and practice.
   » Five (5) years of general office management practice required.
   » North Carolina Notary Public or capability to obtain with 90 days required.

Position Description

The Dennis A. Wicker Civic and Conference Center opened in May of 1991 with an award winning design. Proud of it's namesake the facility is host to a variety of events from Educational, Social and Civic gatherings. Dennis A. Wicker, the former Lieutenant Governor of North Carolina, became the namesake for the Lee County Civic Center when the Central Carolina Community College Board of Trustees unanimously voted to name the facility in his honor, July 13, 1995.

Strategically located in Sanford, the heart of North Carolina as well as Lee County, the Center isaccessible by major highways in all directions. In addition to the Meeting and Conference rooms the Center has an Exhibition Hall that dominates the facility. With a seating capacity of over 1,400 and a large stage, the area is appropriate for concerts, pageants, speakers, and conventions. Divided into four meeting quadrants, the area may be used for workshops and planning sessions or for smaller banquets, social gatherings, annual dinners and award presentations.
In it's rich history the Center has served the surrounding Central Carolina region with being host to such events as the N.C. Symphony, Wedding Receptions, Debutante Balls, Chamber Meetings, Retirement Banquets, Large Political fund raisers, Associational Conferences including Veterinary Medicine and Trade fairs with attendance being over 5000.

The Facilities Coordinator provides essential support to the Director of the Dennis A. Wicker Civic & Conference Center and will perform a wide-range of technical support to assist the in effective oversight and management of facility operation and with overall client-facility relations and for the implementation and application of the Standard Operating Policies as approved by the Board of Trustees of Central Carolina Community College.

This position may have occasional travel between campuses and for training. Occasional after hours may be required.

Essential tasks
   » Perform advanced clerical tasks, including creation of spreadsheets, databases, memos, letters, forms, word documents, typing, copying, scanning, and filing.
   » Professionally greet and establish customer service relations with client contacts. Respond to general inquiries through e-mail, walk-in and phone. Provide facility tours as needed.
   » Processes all procurement orders, purchase orders, receive items and process packing lists. Scan and file digitally.
   » Maintains confidential client information.
   » Communicate Civic Center policies and enforce them for the benefit of the facility.
   » Processes accounts receivable for the DAWC&CC including receipts, deposits, billing and issuing refunds in conformity with Business Office procedures.
   » Maintains a variety of spreadsheets to monitor budget including part-time payroll, petty cash, uncaptured revenue and revenue. Monitor petty cash and maintain receipts.
   » Maintain a variety of controls and logs including inventory logs, security requests, and others as needed. Monitor inventory for college events. Pull items for future college events for pickup if needed.
   » Monitor and update social media, website, and digital sign.
   » Survey external clients with a goal of 93% or higher for customer service and client approval rating.
   » Utilize software to schedule client bookings. Provide ZERO schedule conflicts during the year.
   » Ensure client requests for set-up is recorded.
   » Monitor security cameras.
   » Maintain relationships with Lee County Government, Chamber of Commerce, Economic Development, motels and restaurants in Sanford and Lee County.
   » Serve on College committees as assigned.
   » Complete the annual five-hour staff development requirement.
   » Submit records and forms in a timely fashion as required in the policy and procedures manual.
   » Encourage and support College activities, policies, procedures, and philosophies.
   » Actively participate in professional organizations.
   » Performs other tasks as assigned.
