The Operations Coordinator will provide administrative and operational support to the Operations & Finance team. The ideal candidate will thrive in a highly engaged and fast-paced office environment. They must be personable, with excellent organizational expertise, multi-tasking abilities, and attention to detail. The Operations Coordinator will report to the Technology & Operations Senior Manager.
Job responsibilities:
Administrative and operational support
   » Schedule meetings, prepare minutes, manage calendars.
   » Prepare and submit staff expense reports.
   » Manage correspondence, approvals, and signatures for contracts and other key documents.
   » Support recruitment process by posting jobs; monitor & file submissions to HR inbox, onboarding of new hires.
   » Support payroll processing by regularly reviewing staff timesheet submissions and PTO requests.
   » Coordinate weekly operations team meetings.
   » Provide general administrative support to the Director of Finance & Operations, which may include support with scheduling, managing correspondence, editing or drafting documents, preparing agendas, and others as needed.
   » Research, prioritize, and follow up on incoming issues and concerns addressed to the Director of Finance & Operations and the Technology and Operations Senior Manager, including those of a sensitive or confidential nature. Determine appropriate course of action, referral, and/or response.
   » Provide support to build relationships crucial to the success of the organization and manage a variety of special projects for the Director of Finance & Operations and the Technology and Operations Senior Manager.
General office administration
   » Front desk reception, respond to telephone and email inquiries, register and greet visitors, respond to organization general inbox.
   » Select, purchase and monitor the use of supplies, including technology purchases (e.g. laptops, monitors, docking stations).
   » Maintain good repair, order and cleanliness of the conference rooms, pantry, reception area, and other common areas as needed, liaising with outsourced cleaning service.
   » In partnership with HR and the GIIN's outsourced I.T. helpdesk, lead the employee technology on- and off- boarding process (e.g. laptop and software setup, access card provisioning, etc.) for staff members.
   » Provide tier-one technology support to staff members, referring them to outsourced I.T. helpdesk when appropriate.
   » Assist with printer, copier, and conference room technology.
   » Support the Technology & Operations Senior Manager with special projects, which may include process automation, via cloud-located applications.
Be an active member of the Operations Team, participating in weekly meetings and special projects, and providing back-up support to other team members.
Prioritize conflicting needs; handle matters expeditiously, proactively, and follow-through on projects to prosperous completion, often with deadline pressures.
Other tasks as needed.
FLEXIBILITY: This position will be located in our New York City office with significant remote work flexibility offered through the GIIN's hybrid in-person/remote work model.
COMPENSATION: Competitive compensation, commensurate with practice. income range for this position is $45,000 - $52,000 annually.


   » 2+ years administrative and/or project management practice in a fast-paced office or equivalent

   » Working expertise of Salesforce is a plus
   » Project management practice preferred
